Automating Staff Scheduling and Confirmations

Hello everyone,

 

I am looking to use Power Automate, Approvals, or other recommended Microsoft 365 tools to automate the following use case:

 

  1. Employee submits work availability (days, hours, etc.) via Forms

  2. At least one manager responds with schedule offer based on availability. All managers need to be able to see what was offered, and only one needs to respond.

  3. Employee receives offer and confirms hours offered, or declines with comment (viewable by all managers)

 

By the end, a Sharepoint or Excel where all steps completed for all employees can be viewed. This would be very helpful for our team to then input schedules into our appointment system. How would you recommend to build such a flow? Your expertise would be greatly appreciated.

    Let's assume you are using a sharepoint list to store stuff
     
    1. Employee submits work availability (days, hours, etc.) via Forms
      [Michael] this is an easy one so yes

    2. At least one manager responds with schedule offer based on availability. All managers need to be able to see what was offered, and only one needs to respond.
      [Michael] Yes, you can create the approval and just use the one that only requires 1 response of yes

    3. Employee receives offer and confirms hours offered, or declines with comment (viewable by all managers)
      [Michael] After the manager approves and has selected the hours (that you will share) an approval is sent to the User to approve
      the hours submitted by the Manager in Step 2.
