Forbidden error - sending email - works in testing, not in real life

Hi everyone,

 

I have a flow for a Forms submission for leave request.  When I test it, it works perfectly, but when I submit a form for real life, it taps out at the send email section.

 

I've checked that the user who's sending the email has the licence for Power Automate Free and she does, so I can't figure out why this is happening.

 

Here are some screenshots of my flow, it's the Send an Email (V2) 2 under the Yes condition where I'm having trouble.

    The problem is the Send As field in the email.  The flow uses an automated trigger so it runs in your security context. So when it tries to send the email using a custom From then your account must have send as permission to the mailbox you are using in the from.  I assume when testing that mailbox is probably yours, but when other people submit the form its their mailbox.  Since it runs as your account and you don't have send as permission to their mailbox it fails.

    It's pulling the Responses Approver Email, being the manage who is approving the leave.  There are two who would do this, one main one and another that she might reassign the request to if necessary.  Both have the Power Automate licence.

     

    Am I better to nominate an email address rather than using the dynamic content?

    The point is that the flow uses an automated trigger, so it is running in your security context.  That means that you must have send as permission to any email address you use in the From.  It doesn't matter whether they have a Power Automate license or not.  You are trying to send the email as them and must have permission to their mailbox to do it.  That's an Exchange requirement, not a Power Automate issue.

    That worked perfectly.  I gave myself 'Send As' permissions for the approver's email and no more errors.

    It is a permission granted on the mailbox by either the mailbox owner or an Exchange administrator. You can't do it yourself unless you are an Email admin.
