Power Automate + Microsoft Forms: File Upload from External Suppliers—Any Workarounds?

Hi everyone,

I’m working on a Microsoft Form for our external suppliers and using Power Automate to manage submissions. Here’s what I’ve set up so far:

The form collects supplier info like Contact, Email, and PAN No.
Power Automate checks for duplicates based on these fields.
If duplicates are found, an email is sent to the supplier.
If it’s a new submission, the data gets saved to SharePoint.
Separate emails are then sent to the supplier and the HM notifying them of the new submission.

My challenge:

I want to allow external suppliers to upload files through the form. Unfortunately, Microsoft Forms doesn’t seem to support file uploads from external users. I want to collect these files and trigger an email notification to the HM for review.

To help you understand better, I’m attaching a screenshot of my current Power Automate flow that handles the duplicate check and notifications.

If anyone has suggestions, workarounds, or alternative methods to allow external file uploads and integrate this with Power Automate, I’d really appreciate your help!

Hello,

what i usually do to solve this is to append a response email after submission with the subject |SHAREPOINT_ID| and ask them to reply to that email with their attachments. Which another flow then checks when new emails arrive to that mailbox, if subject contains |ID|, put those attachment on that item, library or where ever you decide.
