MS forms responder feedback notification

I have created a quiz on MS forms which comes to me for review where the scores are posted. Is there anyway that a notification can go to the responder once the scores are posted and feedback is shared?

How much of the process have you got so far, it sounds like you have the form answer > Teams portion sorted?

Are the score totals already automated, or are you currently collecting all the answers and marking manually?

Where are the scores currently stored once you have them?

Is the additional feedback circumstantial? i.e. do you need to manually intervene here to tailor feedback e.g. 'let's have a chat about your answer, send me an email'; or would you be automating set responses based on incorrect answers? e.g. incorrect answer A = send response A

As far as I know there is no trigger available on the post scores action. It should be possible to retrieve the responders and sent them a notification. But that would be manually or via a recurrence action triggered.

Thank you for your response. I am able to retrieve the responses and share feedback manually. I am having to send the notifications manually for which I am exploring the work around.

Hi Ted. Thank you for your response and queries. I have tried to provide you with as much info as possible. :)

How much of the process have you got so far, it sounds like you have the form answer > Teams portion sorted? Yup. I have this sorted. I

Are the score totals already automated, or are you currently collecting all the answers and marking manually?  This is another challenge. I am computing the scores manually. To give an insight: I am trying to replicate a personality assessment through the MS Forms Quiz feature

The way this quiz flows is there are 7 sections which have 5 questions each. Each question is then rated on a 4-point rating scale. Mostly agree= 4, slightly agree=3, slightly disagree=2 and mostly disagree=1.

Once the participant completes the quiz, I receive the responses. I then manually evaluate the score for each section. The highest scoring section represents a particular personality trait.

Likert is kinda doin the job in providing the structure but definitely is not computing the sectional scores. I don't see much of a choice except to use Likert Scale. I review the responses and then calculate the score and post the feedback along with the score. Now this is where I am looking for a notification. Once I post the scores, I have let the participant know through an external notification that their scores and feedback is available. They can access the same through the initial form link. I want to avoid this.

Where are the scores currently stored once you have them? Not a tech person here. But guessing that the scores once posted are available in the MS forms app database of that particular form.

Is the additional feedback circumstantial? i.e. do you need to manually intervene here to tailor feedback e.g. 'let's have a chat about your answer, send me an email'; or would you be automating set responses based on incorrect answers? e.g. incorrect answer A = send response A  The feedback is mandatory. Since this is a personality assessment there are no right or wrong answers. All participants will receive feedback. However, the feedback will differ based on the sectional score.

Export your quiz results to OneDrive as an excel file. Then create a Microsoft list from the answers, you won't need to change anything... If submission time is recorded, converting it into a readable format in lists is just an extra unnecessary step.

If so, the flow could look something like this:

If you wanted to send them all out at the same time you could have a recurrence trigger, but, it sounds like a manual trigger is better.

Once you import the sheet into lists it should look something like:

You could create the list with the feedback column pre-defined, and import the sheet into it to maintain the feedback column, or as above create it each time you create a list from the sheet.

    Within the flow:

Edit the body below to suit your needs, this next bit is just a crude example.
In the 'to' field, change to advanced mode and select the column the email of the user is stored in in:

It's changed the variable names above in my screenshot, but you can see within get items it's just the columns:

    Output email:

Once done, it's your call on managing the data. Have a flow that deletes all the content in the list at a certain time if you can't store it, or an action to delete the data once the flow is complete etc. the idea being keep the list empty to keep your life easy. If you need to store the data create a sheet and export it there or something.

Once the flow is created your actions will be: export quiz results to onedrive excel file, go to lists, import from excel file, fill in feedback, manually trigger flow to send emails.
