In MS Lists - How to automate Next Review Date based on Review Cycle

Posted on by

For a Register with the following columns:

- Last Review Date (to be manually input by user)

- Review Cycle (user selects either: 12 months / 24 months)

- Next Review date (this is what I want to be automated, dependent on the Review Cycle option the user chooses)

For example,

The user enters uploads a new policy to the List and fills in the Last Review date as 30 Jan 2025.

The review cycle is annual, so the user selects '12 months'

Then, the Next Review Date should automatically populate to show 30 Jan 2026 (as opposed to manually entering this date).

I've seen this done and prefer it to manual entry to minimise human error.

Any help appreciated - many thanks! :)

You're basically asking for free consulting advice. The forums are really designed to answer specific questions when building a flow and not for designing an entire process. Too much detail would be required to give all of the specifics, and we have no idea of your level of knowledge as to what you are capable of doing. However, a rough idea might be to:
    1. Create a flow that triggers when a new file is created.
    2. Use a condition to see if the review cycle is 12 or 24 months.
    3. The on the side of the condition that is for 12 or 24 months, use an update item action and use an expression to add 12 or 24 months to the last review date to calculate and populate the next review date.
Then you would create a second flow that runs when the item is modified:
    1. Create a flow that is triggered when an item or file is modified.
    2. Add the Get changes for an item action set to the Trigger Start and Trigger End values and check if the last review date has been modified.
    3. This returns true if it has been modified, so you can add this to a condition and check that it returns true.
    4. On the yes side of the condition, do steps 2-3 above to repeat the process to update the next review date.
    5. If it hasn't been updated, the condition returns false, do nothing and the workflow will end. Eventually when the last review date is updated, the flow will update the next review date accordingly.

Your post says your question is about Microsoft Lists, but then you say the person uploads a file, which would indicate you are using a document library. The above is based on using a document library. If you are dealing with a list, it would be quite similar you would just need to use the appropriate trigger.
