Looking to create agent to perform Sharepoint operations

Hello MS Community

I am pretty new to Copilot Studio or AI world, I am looking for suggestions to build Copilot agent on the basis of following requirements

1. User provide text input (for ex: apple) via app or shell prompt
2. Once user text is captured, agent perform search for matching text input (apple) in all the files and folder under a Sharepoint location.
3. Create an excel document and write all the matching records and respective file names and their certain column fields like value in Col3 and Col4 in the new excel document.

I have run this prompt on the copilot studio prompt and I have got powershell and power apps script that I don't know how to use, any suggestions please.

Is it possible to have this agent exist as an app on the desktop?

Regards,
Gor

    Hi there!

Copilot Studio works a little differently from ChatGPT or Gemini. In Copilot Studio, you create an agent by defining instructions, adding knowledge sources, and configuring the tools it can use to answer user requests.

By default, a Copilot Studio agent will not be able to perform tasks until those capabilities are configured.

For your scenario, I recommend the following:

    1. Configure the instructions
Define clear instructions that tell the agent what to do and the specific order in which it should perform actions.

    2. Add the SharePoint folder as a knowledge source
Connect the SharePoint folder that contains the documents you want the agent to use.

    3. Enable Code Interpreter
In the agent settings, enable Code Interpreter so the agent can generate files based on the information it retrieves from SharePoint.

That's all you need to get started. However, this approach works best with a relatively small amount of information. If you plan to add hundreds of documents, you'll likely need a more advanced architecture and retrieval strategy.

For now, I recommend exploring and experimenting with this initial approach. If it doesn't meet your requirements, I'd be happy to guide you through more advanced options.

Step 1: Create the agent in Copilot Studio: Go to Copilot Studio ->Select Create -> Select New agent ->SharePoint Excel Search Agent

In the Instructions box:  You are a SharePoint Excel Search Agent and Your goal is to help users search for text inside Excel files stored in a specific SharePoint folder.
    • You are a SharePoint Excel Search Agent.
    • When the user asks to search for a value, first understand the search term.
    • If the user only wants an answer, use SharePoint knowledge.
    • If the user asks for an Excel report, file output, export, download, or matching records in a spreadsheet, call the /Generate Excel Search Report tool.
    • Always return the report link after the tool completes.

Note : If no records are found, clearly say no matching records were found.

Step 2 : Add Knowledge (SharePoint Location)

    Knowledge is for answering
    • Copilot Studio knowledge sources let the agent search SharePoint or documents and generate answers grounded on that content. SharePoint knowledge uses Microsoft Graph Search and returns relevant information the user is allowed to access.
Step 3 : Create a Tool (Power Automate)

Flow / Tool is for doing work
    • Power Automate or an agent flow is needed when the agent must perform an action, such as creating files, updating SharePoint, writing Excel rows, moving files, sending emails, or returning a generated file link. Agent flows are meant for deterministic automation and connector-based actions.
