Power BI Report export to PDF

I'm looking for guidance on exporting specific pages from a Power BI report to PPTX using Power Automate.

https://www.youtube.com/watch?v=GzOss0B23B4

  • What’s the most efficient and reliable way to perform this export?

  • We have a report with 30 pages, but we only need to export 20. Is it possible to selectively export pages, and how does that affect performance?

  • Are there any limitations or best practices we should keep in mind to ensure the process runs smoothly?

Regards,
Ritesh

Here's a comprehensive guide based on the latest documentation and community insights on how to export specific pages from a Power BI report to PowerPoint (PPTX) using Power Automate, along with performance considerations and best practices.

How to Export Specific Pages from Power BI to PowerPoint via Power Automate

You can use the “Export to File for Power BI Reports” action in Power Automate to export a report to PowerPoint. To export specific pages, you need to:

    1. Use the “Pages” parameter in the action.
    2. Provide the technical page names (not display names) from the Power BI report.

🔍 How to Find Page Names:

    • Open the report in Power BI Service.
    • Navigate to the page you want.
    • Copy the part of the URL after /ReportSection, e.g.:
      https://app.powerbi.com/groups/.../reports/.../ReportSection123456

→ The page name is ReportSection123456.

You can list multiple pages like this:

    "pages": ["ReportSection123456", "ReportSection789012", ...]

    ⚙️ Performance Considerations

    • Exporting fewer pages significantly improves performance and reduces memory usage.
    • Exporting 20 out of 30 pages is more efficient than exporting the full report.
    • Export time depends on:
      • Complexity of visuals
      • Data volume
      • Whether filters/bookmarks are applied

⚠️ Limitations to Keep in Mind

    1. Premium Capacity Required:

      • Exporting to PowerPoint via Power Automate requires a Power BI Premium workspace (A1/EM1 or higher SKUs).
    2. Static Export:

      • The exported slides are static images of the report pages.
      • No interactivity or slicer functionality is retained.
    3. Hidden Pages:

      • Hidden pages can be exported if you know their technical names.
      • However, there's no built-in way to filter out pages based on visibility or metadata.
    4. Bookmark Support:

      • You can optionally specify a bookmark to apply before export.

    🧠 Best Practices

    • Use bookmarks to pre-filter views before export.
    • Avoid UI-heavy visuals (e.g., maps, custom visuals) if performance is a concern.
    • Test page-by-page to identify any that cause timeouts or errors.
    • Log export duration in your flow for monitoring.

@LD-28070723-0 You can safely ignore the ai chatbot output that @Jon Unzueta posted below as it's guaranteed to not be tested and also doesn't address your questions.

    1) What’s the most efficient and reliable way to perform this export?
The most reliable way to do it is to build a report with the specific pages you're looking for and export that entire report. The most efficient way to do it is via the PowerBI interface manually. Power Automate takes significantly longer to generate a PBI report than the direct interface. Because of the 10 minute runtime limitation on testing a flow, you may have to run your flow manually outside of test mode due to how long it takes to generate a PBI report.

    2) We have a report with 30 pages, but we only need to export 20. Is it possible to selectively export pages, and how does that affect performance?
As noted in the first answer, the best way is to create a report with the specific pages you want to be exported and then export the whole thing. Filtering pages impacts the report generation time in my testing.

    3) Are there any limitations or best practices we should keep in mind to ensure the process runs smoothly?
For best practices, you can read Microsoft's documentation on the action. There are known limitations and prerequisites to using it, such as ensuring the report is located in a tenant backed by reserved capacity. Documentation on these actions is a bit sparse, unfortunately, so there may be additional undocumented limitations that haven't yet been identified by the community.
