Sequential Approvals in SharePoint Lists

Posted on by

I'm trying to create two-tiered vacation approvals and followed this article to a T (I know I followed all steps correctly because I've done it twice now): https://docs.microsoft.com/en-us/power-automate/sequential-modern-approvals#get-the-manager-for-the-person-who-created-the-vacation-request

When I go into my SP list, it is not a form, like the bottom of the article above shows, but it allows any user to enter information in all fields, which completely diminishes the purpose of an approval workflow. I am logged in as a member and not the admin of the page. What am I doing wrong?

Screenshots attached of my workflow and the "form" that shows up in my SP list

Did my proposed solution work for you?  If so, please mark it as accepted.  That will help others with a similar question find an answer.

    Hi,

I am very curious to know that can we get the name of pending approver who has not yet approved the request, in the sharepoint list. Can we get the name of them and please help me out how to design a workflow for this or which function can be used to get the desired data into the sharepoint list pending approver name column.

    Thanks,

    Shweta

In my example below, I use a Form.  When the user submits the Form, a Flow kicks off and creates an entry in the SharePoint list.  After that, you can start your approval process.   Alternatively, you could keep your existing Flow that starts when a new SharePoint item is created.

Let me know if you need additional help.

An example of the Forms solution (1) would be excellent, if you don't mind providing. I am brand new to Power Automate, so I am still learning.

If your issue is that the user has access to columns that are related to the approval, you have a number of options:

    1. Use a Form (i.e. Microsoft Forms) rather that SharePoint as the place where the user enters their request.
      1. Create a Flow that populates the SharePoint list when a Form is submitted and then handles your approval
      2. The user submitting the request need not have any permissions to the list
    2. Customize the SharePoint forms using Power Apps.

The instructions that you followed simply say to create a SharePoint list - you didn't do anything wrong.  I suspect that the example is just meant to illustrate how the Approval process works.

If you need an example of the Forms solution, please let me know.
