Licensing Query Related to Flow Triggered from Power App

Hi Community,

Could someone suggest a simplified solution for the scenario.

There is one Power App which will used by around 3000 users per day (not unique but usage is minimum usage of 3000 users using the app) . This App uses SharePoint as Data source. There is a Flow which will get triggered from the App.

"That Flow will connect to Premium connector/Custom Connectors. How would I need to license to minimize the cost. "

Should I need to assign Per app $5 license to all 3000 users would be enough to trigger the Flow which connects to premium connector.

Or

Should I need to assign only Per flow license to the Flow alone since the Power App uses only SharePoint which all users have in their general licensing.

If there is any suggestion kindly share.

Please suggest as I need to provide solution to the management on pricing.

    Hello @AntonyChrist

    This is my experience.

In your case, since it's only the Power Automate that is talking to the premium component, you won't need a Power App license.

If your user has, at least, Microsoft 365 License for Business, they will not need additional license that allows them to use Premium connectors. As you can see below, the M365 gives the user access to the Premium Connectors for Automate.

But if they don't have Microsoft 365, then opt for Per Flow license as it will save you tons.

Also, you might to go thru the Power Platform licensing course here if you want to go in-depth with the information.

@cha_cha  My users have E3 or E5 . it does not provide premium connector license.  My question is if Flow (using premium connector ) is triggered from the Power Apps (which uses SharePoint (standard connector) Should I just need to assign Per Flow license for the Flow alone and leave the Power Apps without assigning any power app standalone line to users since it uses only SharePoint?

    Hi @AntonyChrist

In your mentioned case, I would say no need for a Power Apps license BUT please double-check your App's settings.  If the license designation still says Standard then you won't need any PowerApps license.

As for the Automate License, you will need one either Per Flow or Per User but since the number of your user is huge, consider using a Per Flow License or its Pay-as-you-go counterpart.

Also what I'm just suggesting above is before buying the Automate license, do try running your app/flow with an E3/E5 user. This is because though the MS documentation says that Premium connectors for automate need additional license, I've seen/implemented a couple of premium flows without a Premium license. Those flows I've used interact with SQL and Dataverse connectors.

But in the documentation its mentioned otherwise.

and In other section its mentioned differently which suggest per flow can be used if multiple user benefits.

    https://learn.microsoft.com/en-us/power-platform/admin/power-automate-licensing/faqs

    Scenario:

Multiple users around 3000 users (E3) users daily would be using the Power App (which connects to SharePoint Data) Interface. They would trigger a Flow from the Power App. That flow would be using the Custom Connector/Premium connector.

As per documentation it says any user running the app would need Power apps license. And in someother documentation is suggest otherwise. Can someone clarify it.

Do I need to license every user with Power App per App license which would be huge cost.

    Or

I just need to license the Flow with "Per Flow" since user using the Power app with SharePoint (standard connector) will trigger the

flow and Flow would use premium connector so I can use Per Flow License for the Flow alone.
