Hello All,
I am trying to replace a Jotform with a Microsoft Form and Power Automate flow but keep running into issues. Any help or advice would be greatly appreciated.
Current setup with Jotform: A student fills out a self-evaluation form, which sends an email to their professor with a link to the submission, where the professor then finishes their half of the form and the full submission details are sent to the student and our dept chair.
How I’ve been trying to work this into the Microsoft environment: Student fills out MS Form, then a PA flow is triggered to get response details, then add them to an MS List and send the submission details in an email to the professor, along with a link to edit the list entry (so they can finish "their half") and then it is sent as an email to the student and chair.
The List idea is because there’s not a way to send a partially filled MS Form to someone, so this was the best workaround I could find. The problem is that we can’t have professors seeing each other’s students' evaluations. I thought maybe limiting them to only seeing part of the List based on some criteria, and not being able to defeat that by changing the View, but from what I’ve read that is not possible (or it requires setting individual permissions on each list item which will cause great slowdown after a time).
The only way I can think of to do this is to have a private list for each professor, and then a Switch in the abovementioned PA flow that chooses which list to create an item in after a student fills out the form. The problem is there are 43 professors that would be cases in that Switch in the first flow, so from what I've read that would need to be split into 2 flows, and then I’d also have to create an additional 43 flows for when a list item is updated >> send email to the student and the chair. That seems like it would be way too time consuming to feasibly make changes or updates on an ongoing basis.
Am I missing something obvious? Anyone have ideas or experience with a similar workflow? Thanks for anything!
