How to forward mail to different recipient based on email subject

Dear Community,

Really need your help on creating power automate flows.

I was trying to create a flow, that when specific sets of email arrived, it can be forwarded automatically based on email subject.

For example:

When mail with subject "Apple" arrived, forwarded it to TEST1@123.com

When mail with subject "Banana" arrived, forwarded it to TEST2@123.com

When mail with subject "Cherry" arrived, forward it to TEST3@123.com

I tried to use "Control" filtering subject, but only 2 options can be selected.

Really appreciated if you could shed some light on this flow.

Best regards,

Clara

    Hi @ClaraW_Who

    You can use "Switch" action to check the email subject & then forward the email as per your need. Here is the example:

    Here, we are first checking the subject of the arrived email. Using Switch action, you can create multiple cases (conditions) and then forward the email to the required user.

    If this helps & solves your problem, please remember to give a 👍 and accept my solution as it will help others in the future.

    Thanks

    Hi Manish,

    Thanks for your advice. I tried "SWITCH", but the key is that email subject is dynamic, it is not fixed as "Apple", "Apple" is keyword in email subject. Can you pls share insights on this kind of situation? Thanks.

    Kind regards,

    Clara Wang

    Hi Clara,

    You can create a SharePoint list that contains the email subject keyword and the email recipient. In the below example, I have created a SP list with 2 columns:

    Title - single line of text - that holds the subject keyword

    RecepientEmail - single line of text - that holds the email address of the person to whom to fwd the email

    Here is the sample flow:

    1. After the "When an email arrives", add an action to get the records from SharePoint list:

    2. Next, we will check if subject containing any keyword which is saved in SP Title column:

    You need to write expression both for left and right side operands in the expression window.

    Expression used for left side operand:

    contains(triggerOutputs()?['body/subject'],item()?['Title'])

    Expression used for right side operand:

    true

    3. Next, if records found with keyword in SP list then we will iterate the filter array output and forward an email based on the value in RecepientEmail column:

    ManishSolanki_3-1690171984746.png

    Expression used to get the email address of recipient:

    item()?['RecepientEmail']

    If this helps & solves your problem, please remember to give a 👍 and accept my solution as it will help others in the future.

    Thanks
