Flow to send invites/create event in calendar based on excel input

Hello Community,

I am working on a flow to send out invites/create event on outlook calendar. The input is in the form of an excel sheet. The logic to implement is to create these events for specific people on specific dates based on the input. The input spreadsheet looks like the table below. The date isn't continuous. The logic to implement is as follows. If Sebastian and Charles have a meeting on 15/09, they have to be sent an invite on 9th, 10th, 15th and 16th. Similarly Lewis and Nico have to be sent an invite on 10th,15th,16th and 17th.
I am quite new to power automate. Can you kindly help with how this logic can be implemented.
Thank you in advance.

    Hi @Sridhar7556 ,

I am afraid I did not understand your needs. Can you provide more explanation?

How do you determine the date of sending the email? From your description, there seems to be no pattern.

    Best Regards,

    Hi @v-bacao-msft

Thank you for your reply. Apologies that it wasn't clear.

The idea is to block the calendar of people who have to attend the meeting 2 weeks in advance. But the additional requirement is to block their calendars on 4 occasions. One is the actual day the event is happening, 2 check events 1 and 2 working days before respectively and one catch up the day after.

So for example, when the flow gets triggered on 14th of September, calendars of all those who have a meeting on 25th september,28th september , 29th september and  30th september must be blocked. similarly when the flow runs on 15th, calendars on 28,29,30 of september and 1st October. and so on.

I hope it explains better now.

    Best Regards

I know it's been a while since you posted, but for anyone seeking how to do this in the future:

    Do the following:

    In your excel spreadsheet:

First, update the dates in your "Date" column the actual date of the meeting.

    In your flow:
Trigger: Recurrence -Set to daily and choose the time you want the invite sent. (Don't worry, it will only send 2 weeks before the meeting dates listed, FOR the meeting dates listed)

Action: Get Future Time: Set to 2 weeks (or 14 days/whenever)

    Action: Substring

    Sub Text: Get Future Time

    Sub Starting: 0
Sub Length: 10 (Time in excel is weird, this makes sure it reads your date as you intend it with Month, day and year. Excel can read this in any order so long as you 'label' your date column as a date).

Action: List rows present in table choose your application, Sharepoint or One Drive for Business

    Click Advanced Options:

Filter Query: enter, Date eq 'Substring(include single quotes/apostrophes and add substring using dynamic content. A box will either pop up on the right or you will have to scroll down and it will appear below- depends on your window size). This is how your flow will know what for which dates to send the invite two weeks before.

Action: create event (Choose your application, outlook, or microsoft 365)

Fill in your meeting information. Click advanced for more options.

Let me know if you (or future people) have any questions!

    Errors:
You're missing the "start_time" and "end_time" for your meeting. Add these to your excel spreadsheet. These should be two separate columns. For ease, label them as "Text" (opposed to formula, date, etc). The meeting invite action will ask for this first thing.
