Update file properties with a documentset

Hi all,

 

I have a problem that my flow won't work all the time. I want to copy the documentset to a new library, this works all the time. In the next step i need to update a people picker field, a SharePoint owner group is this. 50% of the time the fields wont update. 

I can't find in the flow why it works half of the time. Here is my flow:

The last step, Update file properties will work 50% of the time. If i check the body input and the body output, the values are the same, that why it strange the field are not updated. 

 

I guess maybe the problem is more in SharePoint Online instead of Flow. I use documentsets, so all the files inside the documentset need to copy the same value as the files.

    Hi @Anonymous ,

     

    Perhaps you can use another library that does not have a Document set to do a similar test to see if the Document set caused such a result.

    I will test it with another library but i guess there is not different because we work we the content type for documentset. It's so strange because it works around 35/50% of the perfectly. When i check the body of the input/output, i see the correc values.

     I have made my flow a little bit longer. After i copy the documentset, i create a new item with the info of the people picker. After this i read the item, copy the information and delete the item after this step. The results are the same.

     

    50% of the time, the files inside the documentsets are updated. Would it help if i use a variable or compose to make my flow more robust?

    Today i did serveral things to fix this problem. Copy the field information to a new list and get the information from the list. Or update the people picker for a second time. All the solutions are not working. I can update every field in the documentset, except the people picker. The field works fine for the documentset but the file inside are not getting the information. 

     

    When i change a field by hand, it works like a charm. 

    I checked it also with another library but the results are the same, it works sometimes and sometimes not.

    Hi @Anonymous 

    Have you looked into updating the SharePoint Person field using the SharePoint HTTP action? I know the update action should work consistently, but maybe you can try that as an alternative. Here's a blog post by @PieterVeenstra that can help you with that:

    Thanks for your answer. I will test it tomorrow. Are you sure it works also on libraries / updating file properties?

    I can update the files with the HTTP request, see: 

     

    This doesnt work very well with the trigger. Because i first copy the folder with a few files inside. I think it's better to do a HTTP request at the folder/documentset. First i need to find the correct trigger in flow and the correct Uri.

    Unfortunately there is no different with the HTTP request. I can update the people pickers field for the documentset/folder. The people picker fields with the documents inside the documentset are not updating. So there is no different with the update file properties. 

     

    When i add a document by hand, the people picker field are directly filled in with the info form the documentset.

     

    I think i'm running out of options. @faustocapellanj @v-bacao-msft  Any last suggestion? Guess you can reproducere this?

    Sorry I didn't reply before. I was out at a conference all last week and couldn't get to it. Can you please give me more details on your folder structure: column types, etc, so I can replicate on my end? I can try a few things, but prefer to do it with your exact scenario so I can provide a more tailored solution.

    Thanks for your answer! Here is the case and flow:

    I move a documentset with a few files to a library.

    After this i get the folder metadata and then update the file properties.

    All the fields are update on the FOLDER but when i look inside the documentset.

    The people picker fields are not update every time.

     

    When i add a file by hand inside the documentset, all the people pickers fields are filled in. When i use the flow, only 30% a 50% of the time, the people picker is filled in. I tried it with the update file properties and also with an HTTP request to SharePoint.

     

    So it looks, the problem is with this feature from the documentset "Shared Columns
    Select which column values for the Document Set should be automatically synchronized to all documents contained in the set."
