Automating Emails

Hello Power Automate Community,

 

I am working on a project in SharePoint that involves assigning tasks to individuals on a team via a SharePoint List, and would like to automate emails to those specific individuals when a new item is created in the List assigning a task to them.  I cannot seem to find any options in Power Automate that allow me to do this; the options I see are for automating emails to those who edit List items, not to those individuals assigned.  Is there a way to import an email list, or a way for those editing the List to select an email address?  Thank you for any and all help, and please let me know if I need to clarify anything!

    Hi @JColeman115,

    Do you want to send email to the persons who are assigned task to when a new task is created?

    Could you please tell me that if you want to trigger the flow once a new item is created in your task list?

     

    If you want to send the email to the person who is assigned to the task in the SP list, make sure that you have a Person column storing the person who is assigned to the task. I think you should create a flow as below.

    Microsoft flow Planner connector support the "when a task is assigned to me" trigger currently, if you want every use would receive a email that they have been assigned to a task, you could try as below:

    Very helpful Qi, thank you!  I have a list containing all of the employee names, and those are inputs in the SP list.  I am not sure how to link those names to their email addresses, however.  When I create the flow, only the names populate the "To" field in the email.  Do you know how to integrate their email addresses into the flow?

    Hi @JColeman115,

    If this is a Person field, it including several parameters like Email, DisplayName, FullName...

     

    You could directly select the Email parameter from the dynamic content as you could find that in the screenshot I provided. The Employee is my Person field in the SP list, you could find the email parameter in the dynamic content list.

     

    Just make sure that the column where you save all the employee names is a Person field type.

    Gotcha, that makes sense but I do not have that option in my dynamic content list.  Do I need to find it elsewhere?

    Hi @JColeman115,

    That's impossible.

    Could you please just follow the flow I created for you and check if it could work on your side?

     

    Or you just need to search the user based on name using the Search for users (V2) action, then you could directly select the email from dynamic content list.

    Hi Qi,

     

    To solve the problem, I changed all of the options in my employee list to an email address.  Power Automate recognizes the email addresses and an automatic email is generated in Outlook. Thank you for your assistance!
