Hi,
We built a Power Automate Flow which sends Approval to users to get approval, expected to respond directly in email.
However, some recipients reported that on her Outlook received 2 types of email format as below.
Problems:
- Type 1: Some emails she can click Approve directly and outlook sent responses successfully. (see Attachment1-picture2)
- Type 2: The other approval emails are in different format and cannot click Approve directly. They redirect to Flow Portal - here user must login and approve on this page (see Attachment1-picture1).
Notice that, these emails have a caution/warning from Outlook (see Attachment2)
Our findings/actions:
- It seems the sender flow-noreply@microsoft.com is not trusted by Outlook which cause the Caution message in Attachemnt2, then the approval action/script is prevented, the email displays as a normal email and cannot click Approve directly (not Approval email format)
- [In Progress] We have IT Dept add 2 email accounts (maccount@microsoft.com, flow-noreply@microsoft.com) to Safe Senders list at tenant level.

I have experienced this as well. There are other similar posts in the community on this topic, and no definitive answer has been given as to why this happens that I am aware of.
