Stock-List Automation

Hey everyone, 

 

I’m working on making a flow work but I simply do not have enough knowledge to get it done.

Would really appreciate if someone could propose a concept or an idea on how to build it. 

You can find all the relevant information below.

 

1. Trigger: Email Arrival

    •    The flow is triggered when a new email arrives.
    •    The subject line of the email is required to include a reference to “Production Site Alpha.”
    •    The specific format of the subject line is important:
    •    It should follow a dynamic structure: EX - APF - A - 29 - 7589.
    •    This structure has:
    •    Prefix: XX-XXX.
    •    Middle part: A, AB, ABC, B, BC, C, CB.
    •    Numbers: 29 (two digits).
    •    Ending: 7589 (3 to 4 digits).

2. Attachment: PDF

    •    The email contains a PDF attachment.
    •    This PDF contains the order details, including delivery information.

3. Order Details (HTML)

    •    The flow extracts the following data from the email and the attachment once for every new order :
    •    Order Number: EX - APF - A - 29 - 7589.
    •    To (Supplier): Sand Master.
    •    Deliver to: Warehouse 1.
    •    Delivery Date: 10.12.2024.

4. Data Flow to Excel Sheet

    •    The flow then updates an Excel sheet titled “Stock List - Production Site Alpha.”
    •    The data extracted from the email is inserted into the Excel sheet in the appropriate section based on the delivery location.
    •    Order Number (matches the subject line pattern).
    •    Supplier: Sand Master.
    •    Delivery Date: 10.12.2024.
    •    Order Confirmation: Updated with a checkmark or similar symbol when the order is confirmed or not. (Different Flow)

5. Excel Sheet: Warehouse Specific

    •    The Excel sheet has multiple sections for different warehouses.
    •    In this case, the order is delivered to Warehouse 1, so the relevant row in that section is updated with the extracted order data.
    •    Other warehouses (e.g., Warehouse 2, Warehouse 3) remain blank unless a different order specifies those locations.

6. Power Flow

    •    The entire process (from email receipt to Excel update) is handled by a Power Automate flow, automating the extraction of information and populating the stock list without manual intervention.
