Create multiple recurring Planner tasks to start on first Monday of month

Hello!

I am trying to create multiple recurring planner tasks (they are all the same except for the assignee) which would include the following:

  • Start and end date (first Monday of the month to the following Friday, 5 days in duration. e.g. 07/06/20 - 07/10/20)
    • If this isn't possible due to the dynamic date, even the 1st of the month as the start and the 10th of the month as the end date would be sufficient.
  • Instructions in the notes section (i.e. fill out the excel file)
  • an attachment/link to an excel file located on SharePoint
  • Assigned employee per task (I currently have 21 tasks/employees that need these each month)

I would then need to email the assigned employee to remind them if the task is still open the day before it is due.

 

Is it possible to create mass planner tasks like this on flow? Or would each task/assignee need its own flow? Even if they each need their own flow, can you help guide me on how to create these? Is the email a separate flow?

    Yes, you can. For example, you can have a list in SharePoint that stores the users that you want to assign the tasks to, you can retrieve that list and for each one of those users you can create a Planner task. It is not necessary to have more than 1 Flow.

    Thank you for your help! Because I am new to creating Flows, can you point me in the right direction to how to structure this flow? Like recurrence>condition>yes>create task...?

    And in addition to that, can you:

    • demo how to formulate the days so it will only trigger on the first Monday of the month
      • Is this possible?
    • How to add information in the "notes" section of the tasks
    • And how to add an attachment to an existing file on SharePoint
