Creating a Flow for a team spreadsheet that automatically sends emails with options, then updates rows accordingly

Hi folks,

I'm pretty new to Power Automate and the Power Platform in general.

My use case is;

  • I have a central tracking spreadsheet in our Teams site in this format;

  • Team members add rows to the spreadsheet for each item they are assigned. Each item they work on has a unique ID code, and each item has an internal client that the item belongs to.
  • When a team member finishes work on an item, they copy a link to a client-facing deliverable file stored in our Sharepoint, place the link in the Deliverable File column, and set the status of their item to Ready.
  • Currently, at the end of each day we manually send an email to the client, with a link to their client-facing file. We then manually update the value of the Status column to "Sent".
  • When the client confirms they are satisfied with the client-facing file, they reply to the email to confirm. We then manually update the value of the Confirmed column to "Yes".

To save administrative time, I'm hoping that I can run a Flow at the end of each day that:

  • selects all rows with Status = Ready,
  • updates those rows to Status = Sent,
  • emails the clients for those rows with their links in a template format (I am pretty sure I have this set up right in Send Email With Options), including an option for the Client to select to confirm the deliverable,
  • when that option is selected by the client, update the row to Confirmed = Yes

My current attempt looks like this;

However, my ODATA filter on List Rows Present In A Table keeps failing, and that's before I even start trying to navigate Update Row; each Update Row action I add has me manually re-select the spreadsheet, which has me a little worried that the Flow is losing track of the relevant row somewhere along the line (but I can't be sure, because every test fails at the List Rows step).

 

If this just isn't something that Power Automate can handle - alas! But I will live with it.

 

I'm happy to keep having my team manually add rows to the central spreadsheet, as that step is a very minor load. The biggest load by far is having our admin workers manually processing all the emails at EoD.
