I built a flow that is meant to send an email to third party to notify them that the status column in a sharepoint item has changed. The status changes as the steps in the workflow execute and is mainly triggered automatically by switch cases placed after responses to “email with options” steps.
For example, once a request comes in via Forms, a sharepoint item is automatically created and a manager is asked to review the information in an “email with options”, fill in some gaps in the item and send a quote to the client by clicking a “send quote” button at the bottom of the “email with options.” The default status of a recently created item is “request received”. Once the manager sends the quote, the status changes to “quote sent”. The client then receives a quote in another “email with options” with buttons to approve quote or request changes. If the quote is approved, the status in the item automatically changes to “quote approved”.
I have included a notification to third party via a simple outlook email every time the status changes. The third party receives a “request received” notification right away, but the other messages don’t seem to trigger until subsequent steps are completed. This means the third party will not receive a “quote sent” notification until the “quote is approved” or won’t receive a “request changes” notification until an amended version of the quote is sent. I have reviewed the steps and they seem to be in the right place. I’m wondering if anyone can help me figure out why a step would not execute until other steps later in the workflow are triggered. All other actions seem to execute at the right time.
