General question about setting up Power Automate with lists and permissions

Hello everyone,

I am quite new to the community, but I have already read a lot 🙂

I've recently become involved in setting up the SharePoint, including the Power Platform.


Now I have received requirements which I can't really deal with yet or I'm wondering how to implement this at all...

So we have SharePoint lists, automate approval processes via PowerAutomate, among other things.

But now I get a request where I have to set special permissions for user groups on the lists.

 

Here is an example:
We have a list where you can register for training courses, you should be able to edit your own entry until the approval process is started. Once the approval process has been started, only the approver should be able to make changes to the request and also a special group in Azure AD.
Basically, you should only be able to create entries for yourself. However, the special group from the Azure AD should also be able to create entries for others.

  • Does anyone know if this can be realized with lists? And if so, how? 
  • If it cannot be realized with lists, how could something like this be implemented?
  • We have several such "special" requests...
  • What would be alternatives here? PowerApps, WebParts, Dataverse - how could something like this be implemented?

If someone can explain to me how to set this up professionally, I would be very grateful.

Hopefully you can understand what I mean, otherwise feel free to ask.

    You should able to achieve this by simply changing the Item level permission of your list from List settings -> Advanced settings

    You can grant Full access to the AD group on the list that way they should be able to update items on behalf of others. Hope that helps!

    sorry for my late reply, the last few days have been a bit stressful.

     

    Thank you in any case for your quick reply, but unfortunately I don't quite understand it yet.
    Could you perhaps explain to me how a user can make a list entry for another user if they have full access?
