Issue with email trigger from a shared mailbox

I have set up a power automate flow that is initiated by a person completing a microsoft form that then depending upon the area they work in will go to the corresponding approver to approver their application. The flow generates emails to the individual and there is a second approval stage which are the same approvers irrespective of their area of work. When I initially set up the flow it worked using my email address as the communication to all applicants, however this was not practical or user friendly. I therefore set up a shared mailbox so that all email correspondence came from the shared mailbox. Unfortunately this didn't work so my IT department set up a resource account. The flow works using the resource account for the first approval stage but not the second stage and I can't work out why that is. An error message that the person submitting the flow is not part of the security group.

BadRequest. The request failed. Error code: 'UserNotMemberOfCdsSecurityGroup'. Error Message: 'The user '64fc8022-18fa-4cfb-9343-64554c3b810c' cannot be created in Microsoft Dataverse because the account is not a member of group '0251bfe2-24db-4bcb-b27c-99e097b74d3f'. Please ask an administrator to add user to the group.'.

This isn't an issue for the applicant at the first approval stage. Is anyone experienced at setting up flows using shared mailboxes and can explain what the limitations are?

    Hi

Unfortunately I cannot see the image its too blurry when I download it.

    1. Can you validate that the user ID is part of an Approver or the resource?
    2. You should be able to use the SharedMailbox no problem
    3. Are you certain that everyone that is an Approver, is added to that environments security group? If not thats your issue, not the accounty

Can you also share specifics on what was wrong with the shared mailbox, I see you said it doesnt work but no other details.

@FLMike thanks for reviewing my query and apologies for not being clearer.

The user who is not part of the security group is the person submitting a microsoft form, not the approver. This has been verified by our IT department.  All the approvers that have been included within the flow are part of the power automate environment and have access to the shared mailbox and the resource account.

The flow previously worked fine but as soon as I included a shared mailbox, despite all the approvers having the necessary access (to the environment and mailbox) the flow failed at the first 'stop and wait for approval' action citing that the user did not have access to the dataverse. Upon checking , it is the requestor (person submitting the form) that doesn't have access to the environment. I don't understand why this change has happened however our IT department explained that shared mailboxes aren't reliable when using power automate and I was advised to use a resource account. The resource account has been used with the send email from a shared mailbox. This time the flow has failed at the stop and request approval because the requestor is not part of the dataverse. Are you able to explain why this is necessary? I hope I have provided enough detail but if not please let me know. Thanks
