Record which employees are sending and replying to emails from our general mailbox

  • We have a general mailbox (help@company.com) that 10+employees work out of to send and reply to messages.
  • The signature is identical for each employee, except we have incorporated an invisible, unique keyword to each employees signature.

Goal:

  • If someone sends an email from our shared mailbox scan the body of the email and find the first match in the table above. As long as it stops looking after the first match, it should not overlap with other employees, replying on the same thread.
  • If no match is found, do nothing
  • If a match is found, write the date/time and matching keyword to an existing excel sheet (emailtracker.xlsx)

  • My hope is to be able to create a table that shows the employees email work over a period of time

Any ideas on how to do this? I am also open to alternative approaches if there is a better way to accomplish the above.

    If someone sends an email from our shared mailbox scan the body of the email and find the first match 

    Set a semaphore before you iterate through the email list. If a match is found you can reset the semaphore and use that as a signal to suppress further actions in the "Apply to each" loop.  Or - you can replace the "Apply to Each" with a "Do  Until" loop.

    Can you provide a little more guidance? What automate trigger would I use? Also is there an automate object for semaphore? Thanks for you help! I appreciate it.
