Send a customized email when a new file is added

Hi!

 

We're currently using Sharepoint as a "general" inbox instead of a shared Outlook folder. I need Power Automate to send an email to notify the correct user whenever a new item/email is created on sharepoint, based on the name of the file/email subject.

 

Example: whenever a file is added with "12345" on its name, the user 12345@company.com will be notified via email that this file was added.

    Hello @marquesj7 ,

    please follow these steps:

    1. When a file is created in a folder, Get file metadata; please set the "x-ms-file-id" in the "File Identifier" field:

    2. Add the "Get file properties" action, please set the "ItemId" value grabbed from the previous action:

    3. Add the "Send an email (V2)" action, in the "To" field set the "Name" value, grabbed from the previous action, followed by @ and the company domain.

    Hi Marco,

     

    Thank you very much for the quick reply. On step 2 I'm unable to select "x-ms-file-id" and if I write it, it shows an error while testing.

     

    Either way, I'm not sure if this will work as the file name as words other than the ones I'm looking for, and the word I need to look for doesn't match the company's email. This was something I didn't explained in OT. On the text I'm looking for, user 12345 has 2 letters also, like JM12345 so it doesn't match company's email

     

    I don't mind creating a flow for each user

    Hello @marquesj7 ,

    regarding the 2nd step, please search for "id", otherwise if you're not able to get it, add before a "Compose" action and search for "id".

    Hello @MarconettiMarco 

     

    Turns out I found an "easier" way to notify people when an email arrives. Please check the screenshot attached.

     

    The problem is that on the "Condition" / Name, I have at least 50 different people. Do I need to create a Condition for each user?  flow.png

    Just create the JSON array where each record contains 2 values: name and address.
