Send email notification to user X days before a calculated date

Hi,

We have a sharepoint list with a calculated date column "Next Inspection Date". This column values are derived by adding 6 months to another column "Last Inspection Date" which is filled by the user. We are trying to automate and add an email notification that is sent 14 days before the calculated column date in "Next Inspection Date".

I am new to power automate and would love any help in terms of how to design the flow. I have tried using the inbuilt flow from sharepoint list but since the column I am trying to use is a calculated column it gives me an error.

Thanks for your help in advance 🙂

    Hey

    you can do it like this:

    1. Add a new flow, select "Scheduled trigger", give it a name and set it to run once per day.

    2. Add a "Get items" action and point it towards your site & list. In the Filter Query field, add the following:

    NextInspectionDate eq '@{formatDateTime(addDays(utcNow(), -14), 'yyyy-MM-dd')}'

    3. Add a Send an email action with a Dynamic value inside it somewhere, Power Automate will automatically add the "Apply to each" over it so it sends an email for every item that has NextInspectionDate 14 days ago.

    Hello @Caspar_Rubin

    Thanks for your quick reply. I tried building the flow as per your suggestion, but since Next Inspection Date is a calculated column, I get this error when trying to use it in filter query of "Get items" action:

    "The field 'Next_x0020_Inspection_x0020_Date' of type 'Calculated' cannot be used in the query filter expression."

    Any thought how I can solve it further.

    Hi @mansi27

    Calculated column can't be used in the filter query for 'Get items' action. You need to add an extra action i.e. 'Filter array' to get the desired records if filtering on calculated column.

    Please try using the condition mentioned by @Caspar_Rubin in 'Filter array' action.

    If this helps & solves your problem, please remember to give a 👍 and accept my solution as it will help others in the future.

    Thanks
