Approval Process - Assigning an approver on behalf of?

Hi all,

I need some assistance/guidance for an approval step within Flow. Was hoping someone has done this before or knows of a workaround if possible

What I would like to do is try to introduce a behalf of approver within Flow. I am currently sending an approval to our executive managers for a process which works as expected but a recent change to the workflow has me stumped

The change is to include the executive assistants to be able to complete the approval on behalf of the executive managers. This is just incase they are not available or are doing a retrospective request. The assigned to field currently only has the executive manager email which is pulled from the form submission

I tested it with an EA earlier today and even though they click the approval link in the email from the shared mailbox of the EM, once directed to Flow the approval is only assigned to the EM as expected. I've tested also the approval type "Anyone" to "Everyone" but it hasn't changed the outcome.

I had a look at the parallel branches but I don't think it will fit my purpose? From my understanding both of these occurences will need to occur for it to progress? Is that correct of have I got that wrong?

So, after reading that and hopefully it makes sense, would anyone know from reading the above if its possible to somehow include the EA into the approval? Is there some Expression or something I can enter in the assigned to list that would allow me to do this?

Many thanks,

Luca

    Hi @LucaPellegrino,

There is no restriction on the numbers of the EA’s email address, but all executive assistants and the executive manager must be in a same organization or group.

    Best regards,

    Kris

    Thanks for the response Kris

Yes, that's correct. I'd like for the executive assistants (there will be multiple) to be able to approve these if the manager is unavailable (i.e. on leave etc)

So in relation to the above, you are recommending that I add all of the EA's email addresses to the assigned to field? Is there a restriction to how many you can add?

    Hi @LucaPellegrino,

Do you want the executive assistant to complete the approval if the executive manager doesn’t approve the request?

Please take a try to configure “Start an approval” action as below:10.JPGSet Approval type to Anyone from the assigned list and include executive assistant’s email address in Assigned to field.

    Best regards,

    Kris
