Generate and Start an Approval - Different Requesting Person

Hello Everyone,

I started using a online MS forms only for our company (so only signed in people can use it) in combination with PowerAutomate.

The form is filled out, sent to an excel sheet and then starts the requests via Approvals (and thus also by mail)

The problem is the mail that is sent based on the "Approval" - that also says "created by" and uses the flow owner. Can you change that as well with the user filling out the request form or leave it blank?

Best wishes

Best wishes

So i found a solution to some of the issues I had on the side by changing the "advanced options" in the "Approval". You can set the "Requestor" to "Form submitter mail address" - that changed the Request to be made by the person filling out the form IN APPROVAL

    Issue still going

So the "mail part" is still an issue because it that has

    "created by - Flow@Creator.com"

    "request by - "correct.requester@approval.com"

Anyone got an idea how to change or hide the "created by" in the mail?

    Best wishes

    Anyone got an idea?

The basic thing i would like to do is have the person filling out the form also be the one to "create" the approval request.

That is the only thing that is still missing in the flow to work perfectly

    Hi @Kastore ,

Could you please share more details? I can't see there is "Created by" in my test approval flow email:

    @v-jefferni

That is strange... but actually really what I would be looking for.

Could you do me a favor and check if you have a "logged in" connector to Approval? Because that might be the problem! I just did a test run for it and deleted my "log-in" for the Approval connector and it doesnt show the "Created by" in the test run.

Here is what mine looks like:

    Created_Requested.png

    My active connectors are:

    MS Outlook

    Approvals

    Excel

    Forms

    OneDrive

They all run on my name/mail (which is the one showing up in the "created by")

    Hi @Kastore ,

When add the "Requseted for" in the flow, I see the created by part within the new coming Email:

    vjefferni_1-1645600267873.png

So actually you don't need the Requestor in your flow, the default "requested by" is the one who submitted the form.

    Hope this helps.

This is my current flow for the Approval (ofc title and details has text in it - just deleted it real quick 🙂 )

If i do not set up the "requestor" with the "responders mail" from Forms it would again be "only me" (the person the connectors belong to) that is sending the Approval. It would be showing "created" and "requested" by "me".

Can you just check if you have a connector "Approval" set up? As mentioned in the last post - deleting that connector got rid of the "created by" part and only showed the "Requestor" as defined in the Approval adv. opt.

    Hi @Kastore ,

Yes, I do have an Approval connection owned by me.

Anyway, I found an interesting video:

With this workaround, you can use a service account as the requestor for all the approvals, set the real requestor in the approval details to make it clearer to approvers.

    Hope this helps.

I think i just delete the connector and run with the "requestor" set up.

I have no clue why our two flows run differently but if "no created by" is showing then it is fine with me ^^'
