"When a new email arrives in a shared mailbox (V2)" trigger only working for some emails

Hi there,

 

I am designing a fairly straight forward flow (using Power Automate web), whereby when emails that meet a specific set of criteria arrives at a shared mailbox, the attachments are downloaded and stored in a folder in Sharepoint.

 

The emails are generated by another system, which means that sometimes a few emails arrive at the exact same time into the shared mailbox. The issue I have is that when that occurs, the flow only runs for the first of the emails in that batch that are received in the same time, and ignores the rest.

My trigger is fairly straight forward, using the When a new email arrives in a shared mailbox (V2) trigger with the following parameters:

  • Folder: Inbox
  • From: recipient
  • Only with attachments: Yes
  • Include attachments: Yes
  • Subject Filter: one word

I have tried inputting information into the To field, and leaving it blank, both yield the same results. 

 

When running manual tests (send a new email in your inbox to trigger it), the flows run fine, pretty much instantaneously. Out of test mode, I notice that there is a delay for the flow to be triggered, sometimes up to 15 minutes (for the ones that came through). 

 

The concurrency settings are left as default. When checking the run history, there are no signs of triggers being skipped.

    Try turning on the Concurrency Control in the Trigger Settings. This will allow the flow to run multiple times.

    Hi Darren,

     

    Thank you for your prompt response. Apologies I should have been clearer, I need the flow to trigger for every email that meets the criteria, not the other way around. I have concurrency settings set to default.

    No it was my wording that was incorrect. Try turning on Concurrency and set Degree of Parallelism.

    Hi Darren,

     

    Good morning! Unfortunately changing the concurrency settings produced the same results, some emails were still missed.

    Of the emails that came through, the ones highlighted in the red boxes below are the ones that triggered the flow. (not sure why the 4:57PM ones weren't triggered).

    In Power Automate, these are the times the flow were triggered, in response to the emails that were received. Once again, there is a noticeable lag between when an email arrives in the shared mailbox, to when the flow is triggered.

    Are you using a free plan: According to MS 

    "your flows may run every 15 minutes if you’re on the Free license plan. On the Free plan, if a cloud flow is triggered less than 15 minutes after its last run, it’s queued until 15 minutes have elapsed."

    Hi Darren,

     

    Yes I'm on the free plan. The flow should still be triggered though right, just that it will be queued for 15 minutes before it is run?

    Correct. On a free plan it will only run once (one email) per 15 minutes and therefore will not pick up any additional emails in that  that time frame.
