create individual lines in sharepoint list for each multiple choice answer

Hi

I am brand new to Power Automate and am needing some assistance to create a flow from Forms to sharepoint where a new line is created for each choice selected on a multiple choice question.

I have created a form for managers to request training for their staff. Question 1 asks:

Select the employee(s) that need training:

Person A

Person B

Person C

I have been able to get the data to flow but if two or more employees are selected it is entering them on the same line like this ["Person A, Person B"].

I would like to have a separate line for Person A and Person B.

Is anyone able to suggest how to do this? Each list of staff will have 10-20 names as well as a custom variable for new staff

    Hi @macmumma

You can use the json function to convert to an array for the multiple choice question and put it in Apply to each.

I have made a test for your reference:

This is how I would likely build the flow.

For this example, I have the following Microsoft Form. It allows the user to select a single course and multiple participants (including additional participants not listed). I'm sure you have other questions here, but this should be enough to illustrate this example.

And the following SharePoint List. Note that I've renamed the Title field as Course Name.

Below is the full flow. I'll go into each of the actions.

When a new response is submitted and Get response details get our Form data.

Apply to each uses the following expression so we iterate over each of the participants.

//Participants field/array from the Microsoft Form
    json(outputs('Get_response_details')?['body/re2e47ec2014441bbb538559189c3887d'])

    grantjenkins_4-1673657634262.png

Create item uses the Training Course and the current Participant (Current Item).

The results in our SharePoint List after the flow runs would be:

    grantjenkins_6-1673657733466.png

@v-liwei-msft Did you modify your original post? I thought I saw something completely different before using join. I wouldn't have posted my solution if I saw this post 🙂

Thank you @v-liwei-msft and @grantjenkins for your responses.

I have successfully set each participant to have a separate line and have this working for multiple lists of staff spread across multiple sites.

I now have a further question, is it possible to add the same logic to another question in the same form? There are 'sub topics' within each training.

    eg.

    Training A

    Training a.1

    Training a.2

    Training B

    Training b.1

    Training b.2

So if the form is completed to say Person A and Person B both need training in SM.1 and SM.2 i would like this to produce 4 lines:

    Person A - SM.1

    Person A - SM.2

    Person B - SM.1

    Person B - SM.2

I currently have the flow set up like this:
SM and EN being the top level training and needing sub training options under that.

Would I be best to add an additional switch so that if I want to assign different sub training (SM.1 and SM.2) to different trainers I could easily change this?

I am happy to take any advice as this is my very first (and seemingly complicated) flow.

    Hi @macmumma

We really understand that you have more than one issue need to be solved today and we are surely happy to help you with those, but to better focus on the new problem and ensure the service quality, we would advise you to create another ticket on the issue.

It can also help us to get the case better recorded and let Microsoft know what you have been through clearly. Thank you so much for your understanding.

    Best Regards,

    Levi
