Capture the e-mail that is sent via approval flow or via send an e-mail with options

Hello,

 

I am building a flow that has to send and wait for an approval. After the response is submitted, if it is positive the flow should send an e-mail to a given person with the outcome from the approval BUT it should also contain (as an attachment) the e-mail that has been sent to the approver initially - this is needed because the whole thing is for a legal process and there should be a copy of the approval e-mail.

 

I was thinking of adding a generic mailbox to the approvers list and collect it from there with an outlook get item event or something but this will be a real overkill and additionally in some scenarios I have to wait for multiple approvers to approve a given request (meaning all approvers, not just the first one) which won't be possible because of the generic e-mail.

 

The questions is - how to get a copy of the approval e-mail and attach it to the final e-mail...? Any ideas will be greatly appreciated!

    Interesting question which I first thought was simple, but slowly realized that this is a bit more tricky.

    Not having an immediate solution, but a possible direction might be discussed in the following link: https://sharepains.com/2021/06/04/power-automate-approvals-and-dataverse/

    Either way, you need to find a way to find the source data for the approval requests to tap into the details.

     

    Alternatively, considering the fact that you would like to setup a legal audit trail, you may want to consider setting up this approval flow via email or a form with inclusion of a unique ID.

    This would have the downside of not using embedded functionality (approval flow app), but may have the benefit of being acceptable as the request for approval and response would be by unique generated ID/key (you can use the guid() expression for this) and thereby possible legally acceptable.

    Not sure what your (internal) requirements for this would be.

    Thank you very much for your suggestion. Unfortunately such a scenario won't be acceptable for my client. I will continue searching for a solution on this and if I find such, I will update it here.
