Saving conversational transcripts on Dataverse

Hi all,

In my understanding, the conversational transcripts are saved in Dataverse. Now, I'm not clear if this is an automatic thing or I'd need to first set it up. Do I need to create a table and link it up to my bot or there's a different process?
If someone has a link to an article that explains this further and how to set it up, can you please share it as well?

    @Siziwe Conversational transcripts are automatically written to Dataverse, there is nothing you need to set up to enable this, however you may want to adjust the retention period from the default of 30 days.
    Note that conversational transcripts are not written to Dataverse for Teams.

    See Understand conversation transcripts - Power Virtual Agents | Microsoft Learn for more information on conversation transcripts.

    @mbonincoCan I export transcripts from chatbot made in MS copilot studio. If yes Please help me with a way to accomplish this.

    @minakshimathpal There are two types of transcripts, both of with can be exported. From within Copilot Studio there are chat transcripts which is a simplified version of the chat exported from within the Copilot Studio UX.

    see Download chatbot sessions - Microsoft Copilot Studio | Microsoft Learn

    There are also more detailed conversation transcripts that can be downloaded from Dataverse

    see Understand conversation transcripts - Microsoft Copilot Studio | Microsoft Learn

    To download either of the transcripts, one needs to have the bot transcript viewer role assigned to them.

    @mboninco Thanks a lot for replying. I have one more question. How can I scrub of sensitive information like PII, PHI SSN or Credit card details before the prompt goes to Bot. TIA

    @minakshimathpal

    Scrubbing of sensitive information is not directly supported by Copilot Studio.

    If one is deploying a copilot to the web, one could intercept the text from the user in the directline calls, look for text that falls in a certain format and mask it/scrub the text before it goes to the bot.

    Another approach is to use a bot framework skill for data entry if there is a specific point in the work flow where one would expect an end-user to enter sensitive information.

    Access to transcripts is restricted due to the fact that they could contain sensitive information. Something we may consider in the future would be to have an optional process to scrub sensitive information from the transcripts.

    For now, I recommend creating a feature request at https://aka.ms/CopilotStudioFeatureRequest detailing what you would like to see. The product team uses this feedback as one signal when prioritizing which features to work on next.
