Update Item based on Email Conversation ID

(1) ShareShare

Posted on by 45

I have sales leads come in via email which creates a SharePoint list item.  Via different statuses (approve, reject, etc) the list can trigger different emails to go out to the lead.

When the lead responds, I don't want to create a new item, but rather just update the existing list item.  Using the ConversationID I have got it so that the response comes in fine and has "Update" all over it to help folks realize it's related.  Like you I used Get Items, filtered for my ConversationID and then if it matched, told the system to update the existing SharePoint item.  The problem is the ID parameter seems to cause SharePoint to create a new Sharepoint Item rather than UPDATE the existing one.

I've done Update Item flows a thousand times, but am really stumped this week - must be a case of Monday fog!!!

    Hi @sn997 ,

One common cause is whitespace on the conversationID.  Have you wrapped it in a trim() and see if that resolves?

    Hey Tom,

This definitely handled updating the existing item instead of creating a new entry, but it now seems to run the condition check immediately thus always finding the Conversation ID to be a match and then updating the item even if no new email has come in.

It's as if it is running the flow irrespective of the condition check.  Nevertheless - thank you I'm troubleshooting this piece now.  Figure I can make the conditions a bit more stringent and handle it through that.

    Hi @sn997 ,

I'm online for a few more hours tonight, if you can share your conditional block, I would be happy to review.

Hey - Thanks for the offer.  Not sure if this is of any use - but have a look.  Much appreciated.

Any other ideas for how to update the existing item based on Conversation ID?  Or is it perhaps a better idea to use a different parameter like Message ID maybe?

    Hi @sn997 ,

Can you share your expanded flow please?  I need to get up to speed on the trigger and full actions.  Also, if my solution with trim helped solved your problem, please also mark that post as a solution too.  TIA!

Sure thing - here is the flow shown in 3 images.  The trigger is the arrival of a new email, I then "Get Items" to query against the Conversation ID, then put in the Condition that if the Conversation ID matches one in the list, then the Existing SharePoint list Item should be Updated.  For whatever reason if I only have the Conversaton ID condition, it updates right away - which I do not want since I want it to do that on the NEXT email, not the original one.

If I add some other condition - like that the Subject should contain "RE:" for example, in addition to a matching Conversation ID, it basically does nothing as if the Condition is dependent upon both conditions is never met - while I full well know it has been met.

Any guidance you can provide would be greatly appreciated.

Ok,  I am going to review this again tonight.  On the surface it sounds like you really want is if ConversationID does not equal ReplyID (those are the RE:'s).   You would still update based on the ConversationID but only if the conditional ReplyID statement is true.

    Hey Tom,

Just for clarity (and to make sure your efforts are not in vain) - yes if the Reply is in response to the original Conversation - Update the Item is exactly what I want to do.  If it does not, then I'll pop in the Create Item flow (have done that thousands of times so good there).  Just wanted to get this initial "leg" of the journey working first.

Yeah I am stumped on this one.  Please start a new thread so others see this as a new post and hopefully someone can solve this for you and I will learn something too!
