We have a community room with new technology equipment that users can book through Microsoft Outlook's calendar system. I'd like to set up an automated process that sends an instructional email to the meeting organizer whenever they reserve this room.
The email should include specific instructions for using the room's technology equipment. Ideally, the solution would:
Detect when someone books our specific resource room in Outlook
Automatically send a customized email to the organizer with technology instructions
Work with Microsoft 365/Exchange Online environment
I'm considering using Power Automate for this, but I'm open to other approaches if they would work better with Outlook's room booking system. Has anyone implemented something similar or have suggestions on the best approach?
