Unable to get auto Expiry Alerts

Hi Everyone,

I made a power automate flow which provides renewal or expiry alerts based on expiry date. I am able to get alerts on daily basis, but I want alerts 30 days before of expiry date.

I am unable to get alerts before 30 days of expiry of specific items. Instead, I am getting alerts of all items.

Data Operation (Today)-

convertFromUtc(utcNow(),'India Standard Time','yyyy-MM-dd')
 
Data Operation (DateDifference)-
if(equals(outputs('Today'),outputs('Due')),0,int(split(dateDifference(outputs('Due'),outputs('Today')),'.')[0]))
 
Please help me where am I making mistake.

Hi @PP-07010646-0,

Can you share what you are using in your Due action (the first Compose)? Can you also share the setup of your condition action?

When I use your logic/expressions with some example dates it seems to work fine in my first test. For an expiry date of the 23th of Jan I am getting -16 back as a date difference with today (7th of Jan), which is accurate.

Hi Thanks for the response.

The problem is that I am not able to get the alerts before 30 days of expiry.

I made flow for getting expiry alerts before 30 days of expiry. But what I am getting is- Suppose I have 100 line items. And I am getting 100 alerts daily while their expiry dates are different. This is the problem. Suppose out of 100, 5 are getting expire before 30 days, I will not get alerts for 5. I will get alerts for all the 100 line items.

Can you please help me in getting only expired (before 30 days) line-item details from excel file over email using power automate.

The flow which you developed compares each item’s expiry date inside Apply to each and Send an email action is also inside the loop based on the condition that is not needed.

In the List Rows Present in the table action there is parameter Filter Query (OData) , i assume you might have the column for the expiry in the excel.

ExpiryDate ge formatDateTime(utcNow(),'yyyy-MM-dd') and ExpiryDate le formatDateTime(addDays(utcNow(),30),'yyyy-MM-dd') this will filter only specific records which falls under due date.

Create a html table for each list row items.

Send email -> Use the Html Table. (1 eMail with all details you will have).

Yes, it was clear what problem you were experiencing (it was sending e-mails for every item and not just a few).

I just wanted to see your setup, so I could troubleshoot why it was sending an email for every item. That's why I asked for a screenshot of your Due (Compose) and Condition actions :)

Additionally, like already suggested by @MS.Ragavendar, you could simplify your setup by using the filter query field instead.
