Redirection of emails from a shared mailbox to other recipients (depending on the content)

Hello guys!

Hope someone can help me here.

I need to set up a flow in Power Automate so that emails received in a shared mailbox are scanned for content to identify which other mailbox the should be directed to. How do I achieve this? For example, if
the sender of the email has asked in the body of the email about a housing matter, that email should be directed to a designated housing mailbox. Presumably, all the destination generic email addresses should be recorded/stored in a Sharepoint list or otherwise beforehand for ultimate selection.

Any assistance/advice someone can offer would be very much appreciated. Even if the steps for the flow could be outlined for me, that would be even better.

Thank you!

I have not been involved in this project at my company, but I know they've had good success with using the AI builder action for category classification. You can learn about it at Use prebuilt category classification model in Power Automate - AI Builder | Microsoft Learn. You will have the flow trigger when the e-mail arrives in the shared mailbox. Convert the body of the e-mail to text and then use the AI classification builder to identify the content. You can then use a switch to send it to the correct group, with the default switch for ones that do not have a high enough confidence score or cannot be classified. The hardest part is training the AI on your emails to get the accuracy rate high enough. The link above contains a link to training the model. Good luck.

Many thanks,  , will look at that and see if it helps.

I still welcome contributions from any others, though, so please feel free to post with your suggestions too. Thank you!

You can build a flow to automatically scan incoming emails in a shared mailbox and route them based on keywords in the email body.

    How it works ?
    • Trigger: When a new email arrives in shared mailbox
    • Read content: Subject + Body
    • Get keyword mappings from SharePoint list
    • Match keywords (e.g., “housing”, “billing”)
    • Forward email to the correct mailbox
