Create Calendar Event From Email Using AI Builder

Hello!

I'm trying to build a workflow to create a calendar event whenever an email is received in a shared inbox. The trouble I'm running into is with the AI builder extracting information from the emails to use for the date, start, and end time of the calendar event. The "Extract Standard Entities" option keeps extracting the times in test emails as different information, or the start and end time as one value. Unfortunately the emails we'll receive will be in different formats, so the information I'll need to extract will not be in a consistent place or phrase.

Currently I have the workflow set to change the HTML to text, then have the AI builder extract standard entities. I've included a screenshot of what I have set up, and I'm wondering how I can get the "Create Event" step to get the date, start, and end time from the AI builder.

Thank you!

Use Run a prompt instead of Extract standard entities.

Standard entities are unreliable for calendars: they often merge time ranges or misidentify start/end when email formats vary.

With Run a prompt, explicitly ask the model to extract:

    • event date

    • start time

    • end time

    •

as separate values, regardless of wording or layout.

    Then:

    • Convert them to ISO 8601

    • Map them directly to Create Event

    • Add a fallback (e.g. if no end time → start + 30 min)

    •

    Bottom line:

For email → calendar flows with mixed formats, Run a prompt is the only stable approach.
