SPO lists folder permissions

Hi,

I hope this is the right place for my question.

We have a list to track sales, 4 subfolders are in it for the sites which use the list. A powerapp with a connected flow will create the entries and move them into the the right folder. That works flawlessly.

The problem comes with the permission setup. In general people should only see their own entries, so I activated item level permissions in the list settings. The site managers should be able to see all items in the folder for their site. So I added the Azure AD group they are in to the folder with full control(for testing purposes, will be replace with a custom permission level). Thing is, they still can only see their own entries.

What am I doing wrong?

I have the same question (0)

    Hi @Anonymous ,

Giving Full Control Access in SharePoint List to User group should definitely allow the users to view others record.

Make sure you have given access to the right list .  Try to remove and share the App to user again which uses this SharePoint list.

    Hi Devi,

thanks for your reply. Meanwhile I found out, that the users need to have "full control" permission rights on the root folder as well. This might not be a problem for us because the items are moved into the folders immediately. Still I find this a bit weird. Is this expected behaviour?

    Regards

    Holger

    Hi @Anonymous ,

I think your sub folder is inheriting permissions from the parent folder.

Follow the below steps to stop inheriting the permissions

    1. Access to the SharePoint site.

    2. Select the special folder.

    3. Click Ellipsis…>select Details>click Manage access.

    4. Click Advanced.

    5. As you want to custom the permission of subfolder, select Stop Inheriting Permissions.

    6. Then you can Grant permissions or remove user permission.

    Hi Devi,

no, permission inheritance is stopped already. I think it might be due to the item level permisions set on the list(user can only read and edit their own items). But hard to tell, anyway with the override liste behavior permission on the root and the respective folder it seems to work. In my opinion it should have been enough to set the override permissions on the folders.

    Hi @Anonymous ,

    Yes. This should be enough.

    Glad it works.
