Is there precedence/order for knowledge source

We are implementing a chatbot for internal employees but some observations that I came across -

As part of free trial, there are limited knowledge base but one such is sharepoint and file attachment.
I created an agent with source as sharepoint where the files were placed inside a folder. Tried asking question related to the file within that folder and even though the activity map reads the knowledge source, the output is blank (No Output) which results in response - "I'm sorry, I'm not sure how to help with that. Can you try rephrasing?"
On the other hand, I attached the same pdf file which is present in that folder as a attachment and the same question yielded an answer.

Are there any limitations for free trial or is there a priority that kicks in?

Second question -

Email connectors - Error Message: The connector 'Mail' returned an HTTP error with code 401. Error Code: ConnectorRequestFailure Conversation Id: 23c554fb-74e7-4185-a0fd-0e6ab6ec21fd Time (UTC): 2024-12-17T17:27:03.226Z" Even though my connection is established but still I am getting authorization error. Not sure if I am missing anything.

Hi,

There is no precedence/order for Knowledge Source, as the system uses all of them to "generate" an answer, and it will return all sources used for that (citations).

Regarding the question of document in SharePoint:

Take into account there are some limitations on the file size (7MB max): https://learn.microsoft.com/en-us/microsoft-copilot-studio/knowledge-add-sharepoint#known-issues

Which kind of authentication are you using in the agent? Do you have permissions to that SharePoint folder?

Actually generative answers work really well with static documents stored in Dataverse (attachments) and is a recommended approach when you hit the SharePoint limitation: https://learn.microsoft.com/en-us/microsoft-copilot-studio/generative-answers-sharepoint-no-response#how-to-fix-3

Finally, the error you get in the Mail connector seems to be related to permissions (probably you're using agent users' credential to access the mailbox instead of agent owner's credential).

Thank Ferran! I was able to explore Dataverse but to answer your first question,

1. I have access to the sharepoint folder and files and the file size if also less than 7 MB. It is still not reading from the sharepoint data source. I think I will have to make peace with file attachments.

2. The email connector while connecting only asks for end user authentication mechanism -

-- User Auth

-- Copilot author Auth

Tried both and still getting 401. Are there admin privileges that takes effect ?

Also, one observation - While I want to get exact release notes that went in Q4, the pdf has a lot more details but the generated answers skips some information and even if I try different variations of prompts, the end result is not that accurate. Any suggestions where I get all the details even if its lengthy? Does the chatbot description play a role here ? I have a comment that says, summarize the documents based on user inputs
