Using email template to use columns from related tables - is it possible?

In my model driven app, I have created an Antenatal sessions table and Attendees table. I am able to add attendees using lookup to Contact table and lookup to the Antenatal sessions table. I have added a tab and subgrid to the Contact form so the information is available on the Contact record, ie date of session, Zoom link (if applicable) etc.

I've created a View to show the records I want to select and my plan was to be able to use Send Direct Email from the app using a template without having to involve Power Automate. However, I now discover that I can only include columns that are directly linked to the Contact table and not related tables. This is a right pain, is there any way around this other than having to use Power Automate please?

I've since done a bit more searching and found this that mentions Email Template Editor with enhanced features, the screenshot shows that Related tables seem to be available How to create an email template in model-driven apps - Power Apps | Microsoft Learn

Some more searching and I've now found this Insert dynamic values in Email Templates from Custom Entities and have been able to input a test Antenatal field like this, I inputted it in lower case as suggested but once saved it shows as shown. There is also shading around the link as per the Contact link. When I send a test email the Contact works, but the Antenatal doesn't. To be honest the guidance that I'm using states to create a flow, which I haven't yet done, but this doesn't look like the flows that exist in Power Automate. I guess it has all changed a lot in the 6 years since this blog post was written.  Also I'm trying to avoid using Power Automate if I can....

    Hi,

The reason you're not seeing values from related entities (like fields from the Antenatal Session linked to Contact) in your email template is because the out-of-the-box (OOB) email template engine in Dynamics 365 only supports fields from the primary (direct) entity. It doesn't resolve or populate values from related (lookup) entities, even if you select them while designing the template.
    Workaround:
To include data from related records in your email, the recommended approach is to use Power Automate. You can:
    1. Create a flow that triggers based on your condition (e.g., contact created or updated).
    2. Use the Dataverse "Get row by ID" action to retrieve the related Antenatal Session record.
    3. Compose your email body using dynamic values from both the Contact and the related entity.
    4. Send the email using the “Send an email (V2)” or Dataverse “SendEmail” action.
This method allows full control over the email content and ensures all related data is populated correctly.
    Hope this helps.

    Thanks!

Thanks @Inogic that sounds really useful. I've had a hectic few days so haven't had chance to try what you suggest yet, but will certainly give it a go soon. Thanks again.

Did you try getting the related entities data into main table using formula column and see if that is showing up in the template?
