convert SharePoint form to PDF file

Hi All,

 

I created a form that is based on SharePoint list and customize it in using Power App.  Now, I need to convert the form output into PDF file.  Therefore, I created a flow in Power Automate to complete the task.  Here is my step of my flow: Power App v2 -> Onedrive Create file -> Onedrive Convert file -> Onedrive Create file.  Please see attached file. 

 

My flow works fine when I run it.  But, it doesn't work for my teammate because my teammate doesn't have access to my onedrive.   Can you please help me with my situation?  My end goal is my teammate can use form that was created in SharePoint.  They will receive a copy of form in PDF format after successful submission.

    Bring that file from your One Drive to a specific Folder where your Teammate has access to that folder. You can do this in the same flow. Should be better to use this Flow with a Service Account if this Flow is used by different employees. Teammember can be directed via Link to this folder and be informed about that via E-Mail or Teams.

    @bob_taylor_pp ,  how to do I grant access to specific Folder in my one drive for the user who is creating or modifying the SharePoint form in using Power Automate flow?  by the service account, I already with the IT team.  It is not permitted in our org.

    Copy that file from your one drive in a specific folder in Sharepoint . Via Power Automat you can give access to that sharepoint folder to the user who provide the data in the sharepoint form. It's really not a difficult use case.

     

    There is a Grant Access Action in Power Automate.

    @bob_taylor_pp , what about the covert file process?  Does it need to be happening in OneDrive for business? Please see snapshot below.  Thank You

    • Add an action to convert the file to PDF. You can use the "Convert file" action from the OneDrive for Business connector. Choose the "Convert file (Preview)" action and set the conversion type to PDF.
    • Note: This action may not support all file types. If your file type is not supported, consider using a different approach or third-party connectors like Encodian or Plumsail which offer more flexibility in file conversions.
    • Add an action to save the converted PDF. For example, you can use "Create file" action in OneDrive or SharePoint to save the converted file to a specified location.

    OneDrive(your connection)->get Content Action->CREATE FILE ACTION(SHAREPOINT)->Delay 10seconds->create folder or create sharing Link to a specific folder->Delay 10seconds->grant Access Action->Delete file from your own One Drive 

     

    It really depends on the process. In the first line, the PDF is first created in your One drive and then created again in the Sharepoint folder and then shared with the corresponding team member. I would recommend deleting the file directly from your One Drive in the Flow.
