What would need to match in your gallery or form when you want to add new record? As example - Quote number - then you can just do OnChange property to check for this quote number in the database. If this quote number matching one in the database then set a variable varQuote to true. Then if you are still using gallery for this then you can change the TemplateFill color based on your varQuote status.
It is rather hard to imagine something without knowing more details of your situation.
