Beginner Question: Best Approach to Handle Excel Data for Repair Quotes?

Hello everyone,

I’m a beginner in the Power Platform, but I’m working on improving my skills as a side project. Currently, I’m working on a solution that will help me, my colleagues, and ultimately our customers.

We create repair quotes and inspection reports for medical devices, and I’d like to display this information clearly in PowerApps.
The starting point is an Excel file that contains the repair and inspection data for individual medical devices. Unfortunately, this file has to be downloaded manually by each customer advisor.

In my app, I’ve created a way to upload the file, along with other metadata, to a SharePoint library. So far, so good.

My question is how to proceed from here in the easiest way. The Excel data now needs to be processed and displayed in the app somehow.
My first idea was to use a Power Automate flow to automatically transfer the uploaded Excel data into a SharePoint list, which I could then retrieve in PowerApps.
But then I thought, maybe it’s simpler to access the Excel file directly (if that’s even possible). The Excel data is often only temporarily important anyway. What’s most important for the customer is a final overview that shows which spare parts for the medical devices have been ordered with installation costs and which without.

I’m realizing that the project requirements are exceeding my skills and understanding at the moment. But I don’t want to give up, and I’m hoping someone here can provide me with a bit of clarity and guidance.

    If it were me, I would take the Power Automate flow method.
     
    It's possible to connect to Excel files in a SharePoint library through the Excel Online Business connector, and to ForAll/Patch the Excel rows to SharePoint. Connecting an app to Excel can be unreliable particularly when Excel files are replaced or modified by others (eg modifying values in Excel could change the expected data type). From a flow, it's easier to review the run history and to diagnose any potential data transfer errors.

    In the medium term also look at the source of the Excel file. What system creates the Excel file can you replace it with a Power Apps solution?

    In PowerApps, start with the simple step of Adding the Spreadsheet, and then play around with a screen based on it. 
     
    Open a new Canvas App.
    Click the DataSource wafflegrid icon. 
    Seach for the Online Excel Connector
    Connect to the Spreadsheet.
     
    This will demonstrate the abilities, or the lack thereof, available to you. 
     
    The hard part will be connecting to multiple different spreadsheets, but start with step one above.

    Just a comment here - you will find significant limitations using Excel as a data source compared with SharePoint. I think your plan of importing then viewing from there is a good one. Also updating Excel outside Power Apps is problematic and adding new tables is not possible outside Power Apps design studio.
