Delete CDS in Default environment

Hello together,

I want to delete the CDS in my default environment.

I think the same problem have @GarryPope, and @Dalebid1

I found this blog post: https://toddbaginski.com/blog/how-to-delete-a-previous-version-common-data-service-cds-database/ from @ToddBaginski (thank you for that!)

So with this, I find his mentioned Powershell cmdlets:

Remove-LegacyCDSDatabase

for

Delete Common Data Service database

see https://docs.microsoft.com/en-us/power-platform/admin/powerapps-powershell#power-apps-cmdlets-for-administrators-preview

Is there any reason why this shouldn’t work?

    Hi @max81

This was suggested back in 2018 but was rejected by Microsoft for whatever reason (Too hard ??)

I dont know if you try again it will get approved.

    Regards

    Nigel

There is a great option to do this--XrmToolBox User Role Manager. You could remove those roles from 8000 users in minutes. xrmtoolbox.com

You could also use this tool to bulk add a less permissive security role to the users.

without those permissions, users should be able to still create non CDs canvas apps and flows, but not solutions or CDs based apps.

@jlindstromso you mean I shall update all users? I'll have more than 8000 users there so that's not an option.

I checked the Security Roles that the users get in the default environment:

    • Environment Maker

    • Common Data Service User

With this, the user is able to create a solution.

My target is - like in an environment without CDS - that the users can create Canvas Apps and Flows, but nothing else.

Do you see a possibility to realize that?

Re: Delete CDS in Default environment

Yes, that is controlled by the CDS security role given to the user.

in ppac, select default environment, click settings

    User + Permissions

    Users

    Manage users in Dynamics 365

    Select user

    manage roles

    uncheck security roles

This will prevent the users from creating solutions or doing anything with CDS in the default environment

    Thanks for your feedback.

Can I modify the permission in that CDS so, that it is not possible to create solutions?

Re: Delete CDS in Default environment

Thanks for updating the question with your experience. If support is telling you that they can't delete it, that may be the way it is--they have recently changed some things about what environments that databases can be associated with.

You may be stuck with it--I would take the approach of restricting CDS security roles in default environment, renaming environment so that it is clear not to use it. I've even seen people go so far as to rename it "apps that will be deleted" and set the expectation that if anybody creates business grade apps in the default environment, the apps or flows will be deleted.

Re: Delete CDS in Default environment

@jlindstromthanks for your feedback. I finally talked to microsoft and I was told that even the support cannot delete a CDS and I shall create a new idea for that.

Are you sure, that they can delete a CDS?

Re: Delete CDS in Default environment

the legacy cds database refers to the old cds 1.0, not the environments that you have now. Nobody still has CDS legacy databases.

If you created a cds databse in default environment and want to remove it, the only  answer is opening a ticket with microsoft support and asking them to delete it.
