AI Builder clarifications

Hei!
I need some help to understand how I can manage the use of AI builder, as admin. I am afraid of my storage blowing up due to users using this and I cannot block it.
Please give me some information on how I can see how this is used and where the training data, all data, files are stored? Can I somehow see which are for which app/flow and how can I clean up in the data and files such that the dataverse storage and capacity does not blow up. Where can I see this and how can I see what is in there?
 
I urgently need to understand how to manage this.

    You can manage AI Builder usage and storage in Dataverse by monitoring models, reviewing training data, and cleaning up unnecessary files. Here's how you can track and control AI Builder usage as an admin:


    1. Where is AI Builder Data Stored?

    Training Data & Model Storage

    • AI Builder training data, models, and results are stored in Dataverse.
    • The specific tables used depend on the type of model (e.g., form processing, object detection, etc.).
    • Files and images used in AI models consume Dataverse File Storage.

    Location of Data

    • Navigate to Power Platform Admin Center → Resources → Capacity.
    • Go to Dataverse → Details → Tables.
    • AI Builder-related tables typically have names starting with:
      • ai_ (e.g., ai_builderdataset for dataset storage)
      • msdyn_ (e.g., msdyn_AIBDatasetFile for files used in AI Builder)

    2. How to See AI Builder Usage & Storage Impact

    Monitor AI Builder Models & Apps Using Them

    1. Go to Power Platform Admin Center → AI Models.
    2. See all models created, their status, and last trained date.
    3. Click on a model to see its app/flow usage.

    View AI Builder Usage in Power Automate & Power Apps

    • Power Automate:
      • Go to Power Automate → Monitor → Cloud Flow Usage.
      • Filter on AI Builder actions (e.g., "Analyze Image", "Predict", etc.).
    • Power Apps:
      • Go to Power Apps → Monitor (for specific apps).
      • Look for AI Builder components.

    Check AI Storage Consumption

    1. Power Platform Admin Center → Resources → Capacity.
    2. Open Dataverse Storage.
    3. Look for tables like:
      • msdyn_AIBDataset
      • msdyn_AIBDatasetFile
      • msdyn_AIBFile
      • msdyn_AIBDatasetRecord
    4. These tables store AI Builder data. The ones with large file sizes indicate excess AI storage usage.

    3. How to Clean Up AI Builder Data & Free Storage

    A. Delete Unused AI Models

    1. Go to Power Platform Admin Center → AI Models.
    2. Identify models that haven't been used recently.
    3. Delete them to free up Dataverse capacity.

    B. Delete Training Datasets & Files

    1. Go to Power Apps → Dataverse → Tables.
    2. Search for msdyn_AIBDatasetFile.
    3. Delete unused datasets (especially large image datasets).

    C. Remove Unused AI Flows

    • Power Automate → Monitor → Cloud Flow Usage.
    • Identify flows using AI Builder that are no longer needed.
    • Disable or delete them.

    D. Clear Old Prediction Results

    • AI Builder stores prediction results in Dataverse.
    • Delete older predictions from tables like:
      • msdyn_AIBDatasetRecord
      • msdyn_AIBFile

    4. Can I Block AI Builder Usage?

    Unfortunately, you cannot fully block AI Builder, but you can restrict access:

    • Remove AI Builder security roles from users:
      • Go to Power Platform Admin Center → Environments.
      • Select an environment → Settings → Users + Permissions.
      • Remove users from roles like:
        • AI Builder User
        • AI Builder Admin
    • Disable AI Builder features in DLP policies (for Power Automate).

    5. How to Track AI Usage by App/Flow

    To see which AI models are linked to which apps and flows:

    1. Go to Power Apps → Apps.
    2. Open an app and check if it uses AI Builder components.
    3. In Power Automate, filter for flows using AI Builder actions.

    Final Recommendations

    âś… Regularly monitor Dataverse storage (msdyn_AIBDatasetFile, msdyn_AIBDataset).
