Capacity understanding and options to resolve

Hi All,

 

I have 10 GB base capacity and 1 GB additional Dataverse capacity. I have three environments, Dev, Test and Prod. 

 

I am receiving emails saying I am running out of capacity, but I am struggling to understand why and how to resolve it. If you have experience of 'normal' could you look at my screenshots and say if anything looks strange? The capacity overview doesn't seem to give me details of what the actual data is that's taking up all the space. 

 

As an example i deleted all data in my test environment (leaving just the two model-driven apps and OOB stuff) yet it still uses 3gb up and it also says it has 16 GB of files. (I don't know what they are or would be connected to. 

 

Thanks in advance for any help.

    @matthu 

    Normally it takes 24 hours after the deletion of data for the storage to be reflected in the admin centre

     

    Have you checked again?

    Hi @Mira_Ghaly , thank you for replying. I have waited more than 24 hours but my storage still seems to be growing. One thing that throws me is the Microsoft docs says about the activity table:

     

    "How can I reduce ActivityPointerBase table usage?

    ActivityPointerBase contains data that was saved as users create activity rows such as emails, phone calls, tasks, and appointments. As users create more activities, the table will grow. The table contains data saved by users and doesn't contain any internal use data. You can reduce the space used for this table by deleting any old activities that are no longer needed."

     

    But how do I know what data is no longer needed? If a user wanted to recall an activity from 12 months ago for example. Or am I misunderstanding the table?

    Of course you won't go ahead and delete data unless you're sure they're no longer required by the business in a sense emails older than a year or depending on your business and your data retention policies.

     So in your case you need to go ahead and purchase additional storage.

     Data grows by time and if needed then you have no other choice.

    That is my issue in the main. I think I am surprised by how little room we get when we have three environments. Dev, Test and Prod. 10Gb doesn't seem nearly enough before costs really start to rise. I am going to look at an archiving solution I think. Thanks.
