Ideas for a large checklist 💡

Hi am looking for some good ideas on how to set up a large audit checklist. The audit has anywhere between 150 & 250 questions which need to return both a Pass/Fail and comments, as well as details about the audit, auditors and location etc.

 

We currently use a word document which has various tables in and is filled in by hand, and then all responses manually typed in afterwards. I am wanting to streamline the process and allow users to enter responses directly into a tablet, laptop or mobile. 

 

My first idea was to use a Microsoft Form and record all the responses in a SP list using Power Automate. I soon realised this would not be suitable, or definitely not the best way to do it. I am assuming that  should utilise a Power App but I am wracking my brains for a solution.

    Hi @AndrewR1 Thanks for taking time to look at this. It's definitely given me a bit more scope to look at. I wasn't sure whether a standard form or list etc would be suitable and I think it will require me to think a bit further out of the box than normal.

    Hi @nshaw75 the way I would approach this would to be to have 2 separate lists one for housing the questions an one for the answers each table would look something like this:

     

    Questions Table:

    • Question(Text)
    • If Passed (Look Up to next Question)
    • If Failed (Look Up to next Question)
    • Final Question (True or False)

     

    Answer Table:

    • Question (Look Up to questions table)
    • Pass or Fail (Option Set Values)
    • Comments(Multiline Text)
    • Date (Date)
    • Identifying Place of Audit (Text)

    Now in the power app I would have something along the lines of get the First Question and then on select of next button look at the Pass or Fail look up current Question and if this question is not the Final Question then set the next question accordingly or end the question. You would also at the end of each question create a new answer in the answers table form the form that was submitted.

     

    This may not be the best way for you but it will give you an idea of a possible solution to this problem.
