What licenses are needed to run my Power Apps solution?

Hello community,

 

I have a Power Apps solution that I'm delivering to customers' environments as a managed solution. This solution package includes a canvas app, Dataverse tables/choices, Cloud Flows and a security role.

 

The canvas apps uses the following connections:

- Microsoft Dataverse

- Planner

- Office 365 Users

- Office 365 Groups

- Office 365 Outlook

- OneDrive for business

- Microsoft Teams

- SharePoint

 

The cloud flows in the solution use the following connections:

- Microsoft Dataverse

- OneDrive for business

- Microsoft Teams

- SharePoint

 

My assumption is that I need a minimum of Microsoft E3/E5 and Power Apps per app plan for each user

 

Is my assumption correct or would I survive even with a lower license level such as Microsoft Business Standard and Power Apps per user plan?

    Hi @VilPel 

     

     The simple answer is yes. Your assumption is correct. You need a Power Apps per-app license Microsoft E3/E5 based on the scenario you mentioned. 

     

    Reason: 

    You are using Dataverse which is a premium, meaning any premium requires per-app licensing.  I have also added the screenshot for your reference.

    If you are planning to build more than one app then you need a "Per user/month" license. This will allow you to build and access unlimited apps. 

     

    In both scenarios, you need this for your developers and your end-users.

    It makes sense to me. But one thing was not clear to me: Why do I need E3/E5 license but for example Microsoft Business Standard is not sufficient for my solution? Is the Dataverse somehow included in the E3/E5 licenses?

     

    The E3/E5 is very costly so that's why I'm hoping to run the app with a cheaper "base license" alongside with the Power Apps per app plan license.

    Hi @VilPel 

     

    Great question. I will try to explain in a simple way.  Dataverse comes in two different versions 

    1. Dataverse for teams 

    2. Dataverse 

     

    I have added the hyperlink for you to get deep insights into why there are two variants available. In simple terms, Dataverse for Teams capacity is 2GB. If you design an app and the data exceeds 2GB then you need to start paying for the excessive storage capacity.  So think in the long term perspective of the application usage so it is better to pay for a Dataverse (aka PowerApps) license which will come with good capacity plus other benefits like data types, files, etc( See link provided)

    Also Regarding the office licenses, based on the requirement you mentioned, the Office F3 license is cost-effective for your scenario which will cover your requirements then F3 license will include outlook, planner, one drive, etc.. 

     

    So you can pick Office 365 F3 + PowerApps license ( depending on my previous reply)  

     

    If you do need Teams then Office 365 E3 + PowerApps license ( depending on my previous reply)  

    If you do need Teams + Power BI then Office 365 E5 + PowerApps license ( depending on my previous reply)

    Hello @ragavanrajan, and thanks again for your great insights regarding this matter.

     

    Just to mention, we have built our solution with "pure" Dataverse and adding the Power App inside Teams. So, no touching Dataverse for Teams for us. If I understood correctly, I should request our customers to get a minimum Office F3 and Power Apps per app licenses for each user so they can run our solution without needing to apply for Power Apps trials.

     

    If you could just confirm my understanding to be correct, I will mark your reply as the solution!

    Hi @VilPel 

     

    Yes with some caveats. I forgot to mention the caveats of the F3 license. Adding screenshot below. If you are happy with the below limitation of the F3 license then go ahead.   Teams will work for F3. So your licensing model would be the F3+ Power Apps license. Else pick E3/E5.
