MS teams vs Dataverse

hi all

 

I am looking for some guidance on the dataverse teams vs paid for dataverse, which I can't seem to find anywhere.

 

Currently using dataverse for teams, with an MS access front end and heavy use of Power BI on the dataverse environment. Almost no powerapps (just me as single user has some simple forms). My main aim to upgrade is to gain an easy test environment, to avoid data corruption in the live environment when developing new features in the database and Access app.

 

1. After I upgrade > do I need to relink all the tables in Access and Powerbi, and re-create the relational database in powerbi? or will this be a seemless handover

2. will my colleagues also need to upgrade to paid dataverse to be able to access the dataverse via Access and Teams?

3. To be able to use a test environment, will I need to link Access and powerbi seperately to a test environment, and then re-link to the live environment (ie run 2 environments or can this managed easily)? Or can this be dealt with more easily?

    1. Shouldn't have to - the environment url shouldn't change so your connection string should be the same. 
    2. Yes - https://learn.microsoft.com/en-us/power-platform/admin/about-teams-environment#upgrade-process
    3. Yes? Different environment - different connection string. Is that what you mean? Ideally, what you would use are environment variables/parameters and QA/PROD versions of your Access and PowerBI reports. Could also write something to update it for you - https://learn.microsoft.com/en-us/power-bi/report-server/connect-data-source-apis

    FYI - licensing options:

    1. Power Apps Per App Plan:

      • This plan costs $5 per user per month.
      • It allows users to run unlimited apps but only pay for the specific apps they use.
      • If your users primarily interact with a single app, this could be cost-effective.
    2. Power Apps Per User Plan:

      • This plan costs $20 per user per month.
      • It provides unlimited Power Apps and Power Automate capabilities.
      • If your users need broader access to Power Apps features, this plan might be suitable.
    3. Dataverse for Teams:

      • If you’re using Microsoft Teams, consider using Dataverse for Teams.
      • It’s included with your base Office 365 license and allows you to create tables and interact with them within Teams.
      • However, it offers a subset of functionality compared to the full Dataverse.
    4. Pay-as-You-Go License:

      • If you want the full capabilities of Dataverse, consider the pay-as-you-go license.
      • It provides access to all features but at a higher cost.
      • Evaluate whether the additional features justify the expense for your use case.
