Automatically change BPF stages

Hi guys,

 

I have the following use case I would like to apply and have some advice for. I have a BPF for adding a training. It has the following stages and the ideas I have for updating the BPF: 

  • Training added
    • When Training record is created, move to "Cursists added stage"
  • Cursists added
    • When 1 cursist get's added to the Training Cursist subgrid, move to "Extra Costs added stage"
  • Extra Costs added
    • When 1 extra cost get's added to the Training extra costs subgrid, move to "Durations added stage"
  • Durations added
    • When 1 duration get's added to the Training duration subgrid, finish the BPF

 

Now the BPF is just a question for the person if he added current stage records. eg. picture below

If possible I would like to achieve this with workflows/Business Rules and not with Power Automate.

    So I figured out a first step.

     

    When Training record "Created on" contains data eg. Training is created BPF now changes to the next step

    Hi @Anthony_Dob ,

     

    • Cursists added
      • When 1 cursist get's added to the Training Cursist subgrid, move to "Extra Costs added stage"

    Create Real Time Work and trigger is when record is created (Entity - Cursists )

    Create two Option field - Is First Cursists Added (Default is No)

     

    Now in workflow, first check if  'Is First Cursists Added' field value is No and Cursists  has training lookup populated.

    If yes - Update BPF stage and then Update 'Is First Cursists Added' field value to Yes. 

     

    ''Is First Cursists Added' field' -> this is required to prevent your workflow execution when second Cursists  record is added.

     

    Follow the same process for other requirements.
