New to Dataverse - What is the Method to Grant Access to DV Tables and What Role Must I Be Assigned?

I have been using SP lists as my data sources for years and now I am migrating my Power Apps to Dataverse.  I am fairly new to Dataverse and I published a new canvas app that uses DV to my production environment and when I tried to access if threw a permissions error as shown below.  I realized I needed to grant access to the DV table as well since the users received this error message.  Unfortunately, it doesn't look like I can assign DV table permissions at https://make.powerapps.com/ so where are the DV permissions assigned?  DV Error - User unable to access DV table.png

  • I am not a global admin in the prod environment. 
  • Do I need one of the admins to assign me a specific role in the production environment to allow me to set permissions on my DV tables?
  • If so, what role?

    Please follow the below article so that you can create a custom security role where you can set the new Dataverse table permissions as well as assign the security role to the users.

    You need to have system admin privilege to do customizations in an environment. If any users want to access the table that particular users needs to get associated to a security role.

     

    You can use OOB "basic user" or create custom security role. You need to set privileges for custom table, navigate to custom tab in security role find the custom table and set read privilege to (user, BU, parent child BU or organization) level as per your requirement.

    @Mira_Ghaly & @Prakash4691 - Thank you for the responses and for the link to the article.   After reviewing the article, what security role for my table permissions should be granted so all users in that group can perform CRUD tasks on the data?  I own the data since I created the custom tables.  

    It looks like Basic User is the appropriate security role to assign to my security group but I'm not sure about "records they own" (I own the data, not the users) and "only applies to non-custom entities" (is a custom table a custom entity?).  Or am I better off with creating a custom security role?

    Go to basic user security role and you can find option to copy, provide some name and save it as custom security role.

     

    Open the custom security role and navigate to custom tab where you can find the custom entities which you have created. If you are system admin and others want to see your record set all the privileges to organisation level.

    @Prakash4691 - So are you recommending assigning the security group "basic user" or creating a "custom security" role?  Please advise.

    Best practice is to create a custom role. So if there are department or team from different business unit will have separate security role. It will be easy to identify and modify depends on your requirements.

     

    Make sure to get the right info to start with security because it is the building block for the implementation.

    @Prakash4691 - When sharing my Power App as shown below, how do these Dataverse data permissions work with the ones configured in the Power Platform Admin center?  I did notice once I set roles for the selected security group, that they could not be changed again like they are locked in.

    You can able to change teams security role. From make.powerapps.com, navigate to settings->advanced settings. That will open classic editor then navigate to security->teams. From the list, select your security group team->manage roles(ribbon button) change the security role.

     

    Once it changed share your powerapps.

    @Prakash4691 - Thanks for your response.  In my case this is NOT related to Dataverse for Teams but rather is the standalone Dataverse product.

    Hi @Anonymous ,

    I meant for dataverse not dataverse for teams. We have a concept called teams which is part of security. Where you can modify security role.
