Power Apps license with D365FO

Hi folks,

Currently, I’m building a Canvas App using Dataverse Virtual Entities from D365FO to allow users to perform operations directly from the Canvas App without accessing D365FO. At the moment, I’m still unsure about the licensing requirements for users to use the app.

Would it be sufficient to purchase only a Power Apps per-app license for them to use the app without needing a D365FO license?

(*) Below is the list of Dataverse virtual entities from D365FO that I'm using in my Canvas app.

I'm looking forward to hearing your answer. Appreciate it!

Thanks

Thank your for choosing Power Platform Community.

Yes — a Power Apps per-app license may be sufficient for users to access your Canvas App using Dataverse virtual entities from D365FO, but only if those entities are not classified as restricted. If they are, users will also need a D365FO license.

Power Apps per-app license allows access to most custom and standard Dataverse tables.

If your Canvas App uses Dataverse virtual entities from D365FO, users can interact with them without needing a D365FO license — only if those entities are not listed as restricted.

Restricted tables are tied to Dynamics 365 apps (Finance, Sales, etc.) and often include complex business logic. Accessing these for create/update/delete operations requires a D365FO license.

    Hi @Robu1,

Thank you for getting back to me. It's very meaningful to me

I just have another question related to the license. So far my organzation we have Dynamics 365 Customer Service Enterprise vTrial license then we try to assign this license to the Users to use my Power App (the one I mentioned above). But look like this license doesn't work so far the User can see the Power App but when they interact with the data it needed the FO license.

Does that mean the Dynamics 365 Customer Service Enterprise vTrial license is not effective, and we are required to use the Power App per app license?

    Thank you

    That's right ,

The Dynamics 365 Customer Service Enterprise vTrial license doesn’t allow access to restricted Dataverse virtual entities from D365FO.

To interact with data in your Canvas App:
-Use non-restricted entities → Power Apps per-app license is enough
-Use restricted D365FO entities → D365FO license is required
-Users with only the trial license can open the app but won’t be able to interact with restricted data- This is why you are getting that error.

    Here's a further fix:
    Go to D365FO Admin Center.
Navigate to System Administration > Users
    Locate the user phucadmin
Enable the user by setting your status to active
Confirm that you have the  appropriate security roles to access the required data
Once enabled, the Canvas App should be able to retrieve data successfully.

    Hi @Robu1,

Thank you for your prompt reply.

I completely agree with you, as I’ve tried adding my user to D365FO, and the result is exactly as you mentioned — I was able to use the Power App, but this means my user requires a D365FO license.

I’ll try using a Power Apps per app license to see if I can use the Power App without needing a D365FO license. I’ll get back to you soon with the results. Thank you very much for your helpful feedback.

    Have a great day!
